The City of St. Catharines is seeking a highly skilled and organized individual to fill the role of Administrative Coordinator - Municipal Support. In this position, you will provide critical administrative support to the City Solicitor, legal staff, and Claims/Risk Insurance Coordinator.

Key Responsibilities:

  • Administrative Support: Provide daily administrative support to the City Solicitor, legal staff, and Claims/Risk Insurance Coordinator, including intake process, file management, and database updates.
  • Document Preparation: Prepare legal documents, such as agreements, reports, and correspondence, in a timely and accurate manner.
  • Internal and External Support: Provide support to internal departments and the public, responding to inquiries and resolving issues in a professional and courteous manner.
  • Insurance and Litigation Support: Review and complete insurance and litigation documents, ensuring accuracy and compliance with regulatory requirements.
  • File Management: Coordinate files and transactions related to litigation, claims review, and real estate, maintaining accurate and up-to-date records.
  • Risk Management: Assist with risk management tasks and functions, identifying and mitigating potential risks to the City.
  • Reporting: Prepare and deliver reports as needed by the City Solicitor and insurance staff, providing timely and accurate information.
  • Court Filing: Attend to Court files and filing of documents, ensuring compliance with court requirements.
  • Professional Development: Stay up to date with legislative changes affecting job duties, ensuring continued competence and expertise.
  • Additional Duties: Perform other related duties as required, contributing to the overall success of the City.

Requirements:

  • Education: College Diploma in Law Clerk program or related field.
  • Experience: 5 years' experience as a legal administrative assistant.
  • Skills: Proficient in typing and legal document preparation, strong organizational and communication skills, ability to work in a team environment, proficiency in Microsoft Office programs, and commitment to safety culture.

Compensation and Benefits:

The successful candidate will be offered a competitive salary range of $66,030 to $77,241 annually, as well as a comprehensive benefits package.

Work Location and Hours:

The Administrative Coordinator - Municipal Support will be based at City Hall, with the possibility of some remote work. The regular working hours are Monday to Friday, 8:30AM to 4:30PM.
