Administrative Specialist

We are seeking an experienced Administrative Specialist to join our team at New Jain Immigration Services. As an Administrative Specialist, you will play a key role in supporting our operations and ensuring the smooth delivery of our services.
Key Responsibilities- Supervise and Train Colleagues: Provide guidance and support to junior staff members, ensuring they have the necessary skills and knowledge to perform their duties effectively.
- Record and Prepare Meeting Minutes: Accurately record and prepare minutes of meetings, seminars, and conferences, ensuring all relevant details are captured.
- Develop and Implement Recruitment Strategies: Plan, develop, and implement effective recruitment strategies to attract top talent to our organization.
- Schedule and Confirm Appointments: Coordinate and confirm appointments, meetings, and other events, ensuring all parties are informed and prepared.
- Manage Contracts and Agreements: Oversee the management of contracts and agreements, ensuring all necessary documentation is up-to-date and compliant.
- Develop and Implement Training and Development Strategies: Plan, develop, and implement training and development strategies to enhance the skills and knowledge of our staff.
- Oversee the Preparation of Reports: Coordinate the preparation of reports, ensuring all necessary data and information are accurately captured and presented.
- Advise Senior Management: Provide advice and guidance to senior management on administrative matters, ensuring they are informed and supported.
- Organize Staff Consultation and Grievance Procedures: Develop and implement procedures for staff consultation and grievance, ensuring all staff members feel heard and supported.
- Maintain and Manage Digital Databases: Oversee the maintenance and management of digital databases, ensuring all data is accurate and up-to-date.
- Assign, Coordinate, and Review Projects and Programs: Coordinate the assignment, coordination, and review of projects and programs, ensuring all necessary tasks are completed and deadlines are met.
- Green Economy Sector Experience: A minimum of 1 year of experience in the green economy sector, with a strong understanding of the industry and its challenges.
- Fast-Paced Environment: Ability to work in a fast-paced environment, with tight deadlines and a large caseload.
- Attention to Detail: Excellent attention to detail, with a strong focus on accuracy and quality.
- Team Player: A team player with excellent communication and interpersonal skills, able to work effectively with colleagues and stakeholders.

- English Language: English language proficiency, with a strong focus on written and verbal communication.
- 35-40 Hours per Week: A 35-40 hour workweek, with a flexible schedule to accommodate the needs of the organization.
