Position Overview

The Business Systems Analyst II (BSA II) plays a crucial role in enhancing business processes and system functionalities related to ERP and institutional operations. The BSA II collaborates with various departments and stakeholders to assess current and future business workflows, detailing requirements and converting them into actionable technology specifications. This role involves facilitating group discussions and analyzing business processes to identify areas for enhancement, mapping out new workflows, and prioritizing business needs.

Key Responsibilities

Strategic Planning and Analysis

  • Evaluate existing systems and their integration with the corporate ERP (PeopleSoft HR) platform, pinpointing areas for enhancement and necessary corrective measures.
  • Engage with internal and external stakeholders to strategize process definitions, gathering insights to recommend and design system modifications that align with evolving needs.
  • Lead collaborative sessions with business owners, stakeholders, and system users to ensure effective adoption of new systems and modifications.
  • Assess client requirements to guarantee completeness of information and availability of alternatives. Define project objectives and scope, creating detailed functional specifications.
  • Provide expert guidance to identify future business practices and suggest system capabilities.
  • Present designs to clients and, upon approval, collaborate with client teams for implementation.
  • Work closely with the Manager of Enterprise Software Solutions to strategize and execute system modifications based on business needs.

Requirements Management for Projects

  • Document and define comprehensive requirements throughout all project phases, including a traceability matrix to ensure alignment between requirements, system design, testing scenarios, and deliverables.
  • Collaborate with the internal HR Technology team to gather and review business requirements, processes, and recommendations to fulfill user needs and system specifications, ensuring clarity in documentation.
  • Partner with PeopleSoft developers to implement technical adjustments to the HR system and assess outcomes.
  • Develop detailed functional specifications for reports, interfaces, conversions, modifications, customizations, and extensions.
  • Ensure that updates and changes to application configurations comply with change management and security protocols.
  • Successfully deliver on new or revised functional specifications and application user-level configurations.
  • Document testing scenarios, scripts, issues, resolutions, and provide UAT support, collaborating with the project team to adhere to timelines and escalate risks as necessary.

Quality Assurance

  • Participate in quality assessments of team deliverables, ensuring compliance with established project and business analysis methodologies.
  • Develop appropriate test cases to verify that planned functionalities meet the business requirements of relevant institutional areas.
  • Proactively manage risks, foresee challenges, investigate issues, and propose recommendations that may have cross-functional implications.

Support for Project Delivery and Training

  • Collaborate with Organizational Change Management, business owners, and designated training personnel.
  • Assist in business process training, including updates to training materials and documentation, and coordinate/deliver training in various formats.
  • Maintain adaptability in project methodologies, utilizing waterfall, agile, or hybrid approaches as needed.
Qualifications

Education

  • Post-Secondary Credential in Computer Science, Business Administration, Management Information Systems, or a comparable combination of education and experience.
  • ERP Functional Analyst / Business User Certification, Business Analyst Certification is preferred.

Experience

  • At least five (5) years of relevant experience in a Business Analyst role, focusing on PeopleSoft HR systems analysis and programming.
  • Familiarity with configuring any of the PeopleSoft modules– Core HR, Workforce Administration, Base Benefits, Time and Labor, Absence Management, and Canadian Payroll.
  • Experience in integrating functional and technical enhancements.

Skills

  • Strong investigative, research, analytical, and problem-solving abilities.
  • Capacity to manage multiple demands and competing priorities while meeting deadlines.
  • Comprehensive knowledge of business analysis and integration best practices.
  • Proficient understanding of structured analysis and prototyping techniques, with the ability to adapt to changing requirements, along with knowledge of PS Query and SQL scripting.
  • Proficient in MS Office tools, Project, Visio, and analytical reporting tools.
  • Excellent interpersonal, customer service, and communication skills (both verbal and written) to effectively engage with diverse stakeholders.
