About the Role:

We are seeking a highly skilled and experienced Facilities Operations Manager to join our team at EllisDon. As an Assistant Manager, Operations and Maintenance, you will play a critical role in ensuring the smooth operation of our facilities and projects.

Key Responsibilities:

  • Act as a liaison between the Construction phase and Operations phase of a Public-Private Partnership (P3) project, ensuring seamless transition and coordination.
  • Prepare and manage contractually required document schedules, deadlines, and collaborative meetings with project stakeholders.
  • Conduct site visits and collaborate with Subject Matter Experts (SMEs) to review Scope of Work and Standard Operating Procedure documentation for various projects and site-specific assets.
  • Review shop drawings and subcontractor submittals to ensure compliance with project requirements.
  • Develop, organize, write, and edit operational procedures, manuals, and templates to support project success.
  • Maintain document revision history to ensure adherence to audit requirements and regulatory standards.
  • Build and maintain high-level relationships with key stakeholders in P3 projects, developing trust and ensuring effective communication.
  • Project manage P3 projects, creating collaborative meeting schedules and leading discussions with key stakeholders to ensure priority topics are addressed.
  • Review bid documentation, including Output Specifications and Mechanical and Electrical drawings, to prepare and support P3 projects.
  • Conduct task analysis to ensure compliance with legislative requirements and regulatory standards.
  • Attend confidential meetings to take minutes and manage action items, ensuring timely follow-up and resolution.
  • Aid in maintaining a comprehensive library of Renovation Works-related documentation, including drawings, O&M manuals, and warranty information.
  • Prepare and distribute impact notices to clients and internal EDFS staff within prescribed timelines, specific to Renovation Works.
  • Represent EllisDon in Renovation Works meetings, presentations, and client demos, ensuring effective communication and stakeholder engagement.
  • Liaise with the Manager, Plant & Maintenance Operations to solicit input and coordinate EDFS resources related to required shut downs for Renovation Works.
  • Oversight and management of General Trades (GT) Latent Defects, including subcontractor coordination.
  • Prepare and deliver Interface Agreement Notices as required, including Latent Defects in the GT.

Requirements:

  • Knowledge of P3 projects and building assets is essential.
  • Engineering degree or diploma, or 1-3 years of administrative or construction experience.
  • Experience with document management software and best practices, such as SharePoint, Aconex, Google Drive, and Microsoft Office.
  • Working knowledge of construction equipment and techniques, drawings, and specifications, as well as building materials.
  • Ability to develop organization systems to support project success.
  • Awareness of legislative requirements and regulatory standards, including healthcare-specific, environmental, and asset-specific standards.
  • Ability to simplify complex information and communicate effectively with stakeholders.
  • High accuracy and attention to detail, with strong analytical, problem-solving, multitasking, and organizational skills.
  • Demonstrated ability to meet deadlines and project objectives.
  • Ability to identify audience and write accordingly.
