Position Overview:

Under the supervision of the Project Manager, the Project Coordinator plays a crucial role in overseeing the project's contract administration, documentation, and reporting processes. This position is essential for the success of the project management team, ensuring that communication is efficient and that the construction workflow remains seamless.

Key Responsibilities:

Comprehensive understanding and accurate interpretation of the complete project scope. Act as the primary liaison for suppliers, subcontractors, and the procurement department to facilitate the coordination of external services and materials. Generate project status updates and additional reports as needed for senior management review. Oversee the mobilization and demobilization of site facilities, including furnishings, utilities, and communication systems. Maintain precise and current financial reports. Assist the Project Manager with quarterly financial forecasts and cost projections. Proficient in planning and scheduling tools, such as CPM scheduling software, ensuring project timelines are accurately maintained in alignment with project objectives. Establish and manage billing processes with clients and subcontractors/vendors, tracking and reporting on monthly cash flow. Oversee labor monitoring systems to ensure effective workforce management. Collaborate closely with the Purchasing Department to keep an updated Awards & Purchasing Log, ensuring compliance with corporate procurement policies. Prepare documents for subcontract and vendor awards, including scope definitions and contract agreements, while coordinating with subcontract administration. Responsible for the preparation, distribution, and submission of Article E documents to adhere to project timelines. Manage the organization and distribution of all contract documents and drawings. Ensure timely pricing and processing of change orders, effectively communicating updates to the project team. Control the site Request for Information (RFI) process to facilitate smooth communication. Provide administrative support to Trade Superintendents regarding the procurement and tracking of tools and equipment. Assist in ensuring the accuracy of all shipping and receiving processes related to the project. Coordinate travel and accommodation arrangements for the workforce. Prepare, maintain, and submit all Operation & Maintenance manuals, spare parts documentation, warranties, and project closeout documents. Aid in the project closeout process, including compiling detailed deficiency lists and ensuring timely resolution. Gain field experience for professional development by assisting trade superintendents and project management. Organize and archive project photographs for easy access and reference.

Qualifications:

Degree or diploma in Construction Management or a related field. Relevant construction experience or a combination of technical training and experience. Surveying experience is advantageous. Strong proficiency in interpreting construction contract drawings and specifications. Excellent verbal and written communication skills. Ability to work effectively in a team-oriented environment under pressure. High initiative and a strong interest in resolving technical challenges. Capable of working independently with minimal supervision. Willingness to travel as required.
