Administrative Coordinator

As a key member of the Office of the AVP Advancement, the Administrative Assistant provides high-level administrative support to the AVP and the team.
The successful candidate will possess excellent communication and interpersonal skills, with the ability to work strategically and cooperatively with members of the university community.
Responsibilities include:
- Providing discreet and tactful service as the point of contact for the Office of the AVP Advancement
- Managing the confidential schedules of the AVP, prioritizing calendar and correspondence to ensure timely issue resolution and exceptional customer service
- Providing confidential administrative support, including managing appointments, meetings, and travel arrangements, preparing meeting materials and agendas, and maintaining a comprehensive filing system
- Organizing workflow and determining priorities to meet the needs of the assigned area, independently resolving day-to-day problems and handling sensitive materials
- Providing logistical support during executive searches, including securing calendars, arranging campus tours, and conducting reference checks
- Preparing HR requisitions for AVPA approval and reconciling purchasing cards and reimbursements
- Procuring and maintaining office supplies and equipment
- Managing special projects with initial direction from the Associate Vice-President, Advancement
The successful candidate will possess a minimum of 5-10 years of related administrative experience, a Bachelor's Degree, and excellent communication and interpersonal skills.
They will also have the ability to work strategically and cooperatively with members of the university community, with a high degree of initiative and attention to detail.
Advanced computer literacy skills and the ability to learn and use multiple software programs are also essential.
