Position Overview

The Catering Services Coordinator is responsible for a variety of tasks that ensure seamless catering operations and exceptional client experiences.

Key Responsibilities:

  • Organize and prepare catering items and furnishings for meetings and special events, ensuring all setups meet professional standards.
  • Maintain cleanliness and safety in all meeting spaces, including regular upkeep of coffee stations and communal areas.
  • Adhere to food safety protocols and sanitation practices consistently.
  • Assist in managing food and beverage orders for various meetings, collaborating with clients and caterers to meet specific requirements.
  • Support logistical arrangements for in-person events, including those outside standard business hours.
  • Oversee inventory management in catering areas, ensuring adequate supplies are available and procuring new items as needed.
  • Ensure the catering area is cleaned and organized at the end of each day, with all food items stored properly.
  • Process and allocate invoices accurately to the appropriate client and matter categories.

Reception Duties:

  • Welcome clients and visitors, maintaining a professional and inviting atmosphere.
  • Handle incoming calls and relay messages efficiently.
  • Coordinate the scheduling of meeting rooms and visitor offices, collaborating with various teams as necessary.
  • Maintain a log of security access and conduct regular audits.
  • Manage visitor logs and issue temporary security passes as required.
  • Assist with administrative tasks for the office services team, including invoice preparation and reporting metrics.
  • Provide support for audio-visual issues in meeting rooms, escalating as needed.

Qualifications:

  • Experience in a receptionist or administrative role within a professional services environment.
  • Knowledge of client services and food service operations.
  • Strong commitment to delivering outstanding service and enhancing client satisfaction.
  • Excellent communication skills, capable of interacting effectively with all levels of staff and clients.
  • Proactive problem-solving abilities, anticipating client needs.
  • Proficient in Microsoft Office and room management software.
  • Ability to work collaboratively in a team and independently.
  • Exceptional organizational skills and attention to detail.
  • Capability to manage multiple tasks in a fast-paced environment.
  • Willingness to adapt work hours to accommodate event schedules.
