About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at BIG COUNTRY STORAGE TERMINALS. As an Administrative Support Specialist, you will play a critical role in ensuring the smooth operation of our office.

Key Responsibilities
  • Office Administration
    • Determine and establish office procedures and routines to ensure efficient workflow.
    • Schedule and confirm appointments with clients and stakeholders.
    • Answer telephone calls and relay messages to relevant personnel.
    • Respond to electronic enquiries in a timely and professional manner.
  • Supply Chain Management
    • Order office supplies and maintain inventory levels to ensure adequate stock.
    • Arrange travel and related itineraries for company personnel.
  • Documentation and Record-Keeping
    • Set up and maintain manual and computerized information filing systems.
    • Type and proofread correspondence, forms, and other documents.
  • Customer Service
    • Provide exceptional customer service to clients and stakeholders.
    • Perform basic bookkeeping tasks to ensure accurate financial records.
  • Operational Support
    • Assist in the preparation of operating budgets and maintain inventory and budgetary controls.
    • Carry out administrative activities of the establishment to ensure smooth operation.

Requirements

  • Secondary (high) school graduation certificate.
  • 7 months to less than 1 year of experience in an administrative role.
  • Excellent communication and organizational skills.
  • Ability to work in a fast-paced environment.
  • Proficiency in Microsoft Office and other productivity software.

Working Conditions

  • 35 to 40 hours per week.
  • Permanent position.
  • Work Language: English.
