Position Overview

The Academic Support Program Coordinator plays a crucial role in enhancing the educational experience within the Department of Statistics and Actuarial Science (SAS). This position is responsible for providing comprehensive instructional assistance and ensuring effective management of Teaching Assistants (TAs) across various SAS courses. The Coordinator will work closely with faculty members to address the specific needs of each course, fostering a collaborative environment that supports both instructors and students.

Note: There are two vacancies available for this role.

Key Responsibilities

Course Operations and TA Management

  • Oversee the coordination and management of graduate student employment policies.
  • Assess and determine the daily operational needs to facilitate course delivery.
  • Ensure TAs are equipped with necessary resources for effective course support.
  • Organize and participate in grading meetings.
  • Address informal grade revision requests and appeals.
  • Assist in investigating potential academic integrity violations.
  • Coordinate and conduct training sessions for TAs.
  • Create and manage online resources for TAs.
  • Support the development and administration of assessments for multi-section courses.
  • Assign proctors for examinations.
  • Schedule and oversee TA activities in the Tutorial Centre.
  • Manage TA contracts and office hours, monitoring workloads effectively.
  • Ensure compliance with health and safety regulations for TAs.
  • Assist in the evaluation process for TAs.
  • Provide regular updates to instructors regarding TA performance.
  • Address interpersonal issues between TAs and students in consultation with faculty.

Faculty and Student Support

  • Serve as the primary contact for faculty regarding the university's Learning Management Systems (LMS).
  • Engage proactively with faculty for upcoming terms, ensuring alignment with available resources.
  • Assist with textbook procurement as necessary.
  • Facilitate orientation for new faculty, providing resources for LMS utilization.
  • Participate in departmental projects that enhance faculty support.
  • Respond promptly to student inquiries and concerns.
  • Manage requests for exceptions due to personal circumstances.
  • Inform faculty of trends in student support and suggest improvements.
  • Coordinate accessibility support within the department.
  • Provide academic advising to undergraduate students and participate in advising initiatives.

Grading and Assessment Management

  • Distribute solutions and marking guidelines for assignments and exams.
  • Organize the printing and grading of assignments, leading grading meetings as needed.
  • Maintain and archive grading records.
  • Calculate final grades according to faculty guidelines.
  • Assist in the grading process for exams and assignments.
  • Manage grade appeal processes.
  • Submit final grades through the university's system.
  • Post solutions and grades as required.
  • Provide support for assignment submission and grading systems.

Technology and Online Learning

  • Stay informed about current technologies in online education.
  • Understand the setup and functionality of courses within the LMS.
  • Design course administration to ensure smooth operation and delivery.
  • Liaise with campus partners regarding LMS and educational technology issues.
  • Assist with classroom technology usage.
  • Manage historical course content effectively.
  • Maintain records related to graduate student employment.

Instructional Services

  • Prepare instructional materials as per guidelines from course instructors.
  • Assist in developing marking schemes and solutions for assessments.
  • Facilitate the creation of assignments and exam questions.
  • Support the preparation of course outlines.
  • Provide feedback on course material modifications.
  • Archive grades and course materials in accordance with retention policies.
  • Ensure resources are available for tutorials and review sessions.
  • Serve as an instructor for on-campus or distance education courses.
Qualifications
  • Master's Degree in Mathematics, preferably in Statistics or Actuarial Science, or
  • Bachelor's degree in Mathematics with equivalent experience and three to five years in a related field.
  • Experience in university-level teaching or instructional support.
  • Extensive background in tutoring or providing instructional assistance in Statistics and Actuarial Science.
  • Strong communication and time management skills.
  • Detail-oriented with a proactive approach to work.
  • Proven ability to collaborate and manage relationships effectively.
  • Interpersonal skills to navigate diverse interactions.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Intermediate proficiency in Microsoft Office applications.
