LOCATION: Office Based

The Accounts Payable Clerk at Paul Davis is responsible for managing all financial obligations of the organization. This role involves recording, reconciling, and processing all invoices and expenditures.

Paul Davis Restoration, Inc. is a leading franchise network providing emergency services, restoration, and reconstruction for both residential and commercial properties affected by various disasters. With over 380 franchises across North America, we have been dedicated to helping property owners restore their properties and lives since 1966.

Key Responsibilities

As an Accounts Payable Clerk, you will:
  • Receive, assess, and file incoming invoices and expenses.
  • Coordinate weekly cheque runs.
  • Collaborate with subcontractors to address invoice inquiries.
  • Serve as a liaison between the organization and external clients.
  • Update all invoices in QuickBooks and RMS.
  • Communicate with subcontractors regarding payment statuses.
  • Review subcontractor statements monthly.
  • Maintain records of approved invoices from various departments.
  • Reconcile accounts on a monthly basis.
  • Review credit card transactions and secure necessary approvals.
  • Ensure data consistency between QuickBooks and RMS.
  • Assist with bookkeeping tasks including A/P, A/R, GL, Payroll, and reporting.
  • Maintain an organized filing system.
  • Support the preparation of financial reports.
  • Respond to inquiries regarding departmental services and policies.
  • Complete monthly sales reports.
  • Perform additional reasonable duties as assigned.

Required Skills and Knowledge

To excel in this role, candidates should possess:
  • Strong understanding of office support functions, including word processing and data management.
  • Ability to work under pressure with a strong work ethic and initiative.
  • Positive and friendly demeanor with excellent interpersonal skills.
  • Strong organizational capabilities.
  • Bilingualism is considered an asset.

Specialized Knowledge

Ideal candidates will have:
  • Experience with QuickBooks.
  • Familiarity with construction terminology and procedures (preferred but not mandatory).
  • Proficiency in QuickBooks Desktop.
  • Experience with RMS.
  • Typing speed of at least 40 words per minute.
  • Bookkeeping knowledge and experience.
  • Experience with spreadsheet and database software.
  • Ability to manage multiple tasks effectively.
