Description

The Administrative Assistant, Operations plays a vital role in supporting the Chief Operating Officer and the entire Operations team at Hub International Quebec Limited.

Their responsibilities include, but are not limited to:

  • Providing administrative support to the COO in their daily tasks;
  • Attending operations meetings and taking minutes;
  • Preparing and sending various communications;
  • Developing and delivering presentations;
  • Reviewing and translating documents;
  • Coordinating meetings and events;
  • Assisting with training logistics and sending out invitations;
  • Managing PDUs with ChAD: following up on employee files and entering PDUs on the ChAD portal during in-house training sessions;
  • Managing the COO's agenda and expense account.

Job Requirements

Technical skills

  • Diploma in office automation, secretarial studies, or equivalent;
  • Excellent knowledge of Microsoft Suite (Word and Excel);
  • Excellent command of French and English (oral and written).

Personal skills

  • Attention to detail, precision, and attention to detail;
  • Strong organizational skills;
  • Proven ability to work in a dynamic environment, setting priorities;

  • Demonstrating good team spirit.

Complementary skills

  • Knowledge of EPIC software, an asset;
  • Valid AMF permit - Property and casualty insurance, an asset.

Specific working conditions

  • Flexible working hours may be required, including office presence at least three days a week.
