We are currently seeking a highly motivated and detail-oriented Evening Document Processing Specialist to join our Toronto office. This role plays a crucial part in ensuring the smooth operation of legal document workflows, supporting our attorneys and staff in delivering high-quality legal services.

Responsibilities:
  • Prepare and edit a wide range of complex legal documents, including spreadsheets, presentations, flowcharts, and PDF files.
  • Convert PDF documents into various formats (Word, Excel) as required, ensuring accurate formatting and layout.
  • Create and edit mail merges, insert media into presentations, and generate graphs and objects to enhance document clarity.
  • Troubleshoot document-related issues and provide guidance to colleagues when needed.
  • Utilize legal document comparison software (Workshare Compare, Litera Forte) to create blacklines for efficient document review.
  • Transcribe dictation using both BigHand and Word Digital Dictation software with accuracy and efficiency.
  • Demonstrate a willingness to learn and master new software applications relevant to the role.
  • Contribute to various other tasks and projects as assigned by the team.
Qualifications:
  • Minimum of three years of experience as a legal document processor with a solid understanding of diverse legal areas.
  • Advanced proficiency in Microsoft Office Suite, including Word (styles, tables, mail merges, track changes), Excel (formulas, worksheets, charts/graphs, sorting), PowerPoint (presentations, formatting, design, animation), and Visio (flowcharts, timelines).
  • Exceptional organizational skills, meticulous attention to detail, self-motivation, and the ability to manage multiple tasks effectively with minimal supervision.
  • Superior word processing skills, including accuracy in spelling, grammar, proofreading, and a keen eye for detail.
  • Collaborative team player who thrives in both independent and collaborative work environments.
  • Strong communication skills (both written and verbal).
  • Advanced knowledge of document cleaning and reformatting using DocXtools and applying styles with numbering schemes.
  • Proficiency in Adobe Acrobat, Workshare Compare, BigHand software, and electronic document management systems like iManage.
  • Bilingualism (French and English) is considered an asset.
