This full-time, permanent position plays a crucial role in supporting United Way's extensive network of over 2,700 volunteers by managing tasks and processes that deliver essential resources, tools, and best practices to effectively engage and utilize the skills and time of our volunteers. This role operates primarily behind the scenes to ensure a superior volunteer experience and provide valuable assistance throughout the entire volunteer lifecycle, aiming to create meaningful engagement opportunities.

Key Responsibilities:

  • Collaborates with internal teams on volunteer management tasks to ensure consistent and high-quality experiences for all participants.
  • Facilitates the volunteer engagement lifecycle for both existing and new opportunities, focusing on time and talent volunteers.
  • Assists in the creation of new episodic and ongoing volunteer opportunities, including supporting recruitment strategies.
  • Partners with staff to review various volunteer roles annually, capturing processes and practices from diverse teams across the organization.
  • Provides administrative support to Affinity Groups and the Volunteer Engagement team, including event day assistance, volunteer recruitment, attendance tracking, and communication preparations.
  • Coordinates and implements elements of the volunteer recognition strategy and organization-wide appreciation initiatives.
  • Utilizes CRM and Volunteer Management Systems (VMS) to manage volunteer opportunities, including creating roles, shifts, forms, and schedules for volunteer sign-ups and tracking engagement through volunteer hours.
  • Ensures accurate volunteer records in database systems, assists staff with VMS usage, and maintains up-to-date volunteer information and opportunities.
  • Maintains comprehensive volunteer administration files, including role profiles, policies, schedules, marketing materials, guides, and operational procedures.
  • Manages all volunteer-related communications through the engagement inbox, addressing inquiries, administrative questions, and scheduling meetings.
  • Supports Cabinet engagement through ongoing administrative tasks, including managing meeting calendars, setting up in-person and virtual meetings, and coordinating communications.
  • Assists in organization-wide volunteer data management by collaborating with staff to collect relevant data related to volunteers, including contact information, roles, participation, and survey responses.

About You:

You are an individual who excels in administrative and support roles, eager to leverage your exceptional customer service and organizational skills. Your strong writing and communication abilities are essential in this position. You possess experience in managing administrative tasks such as calendar management, communication preparation, and meeting documentation.

Your proactive attitude, results-oriented mindset, and collaborative approach make you a valuable asset. You are motivated to think creatively, stay organized, and build strong relationships. You thrive in a digital environment and are proficient with MS Office (Office 365 – MS Teams, SharePoint), have basic CRM experience, and enjoy learning new technologies.

You hold a post-secondary degree or diploma in Business, Social Sciences, or a related field, with a minimum of two to three years of relevant experience in providing outstanding customer service and administrative support. A combination of education and experience will be considered.

A valid driver's license and vehicle are necessary for travel within the designated area, and you have the flexibility to work some evenings and weekends as required by events and meetings.
