About the Role

This permanent, full-time position supports United Way's diverse network of volunteers through the administration of tasks and processes that provide resources, tools, and best practices to engage and utilize the skills and time of our customers. The role is focused behind the scenes to ensure an elevated volunteer experience and valuable support through the entire volunteer lifecycle as we strive to provide meaningful engagement opportunities to our customers.

Key Responsibilities
  • Collaborate with internal staff on volunteer management administration to support consistent and elevated customer experiences.
  • Support the customer journey and volunteer engagement lifecycle for all existing and new volunteer opportunities with our time and talent volunteers.
  • Work with staff in the development of new episodic and ongoing volunteer opportunities, including supporting recruitment strategies and efforts.
  • Work with staff partners to review various volunteer roles annually to understand and capture the processes and practices used by a variety of teams across the organization.
  • Support Affinity Groups and Volunteer Engagement (AGAVE) team with administrative requirements such as day-of event support, volunteer recruitment & processing, attendance tracking, and communications preparations.
  • Coordinate and deliver elements of the volunteer recognition strategy and org-wide volunteer appreciation efforts.
  • Use CRM and Volunteer Management System (VMS) in support volunteer opportunities across the organization - creating jobs, shifts, forms, and schedules for volunteers to sign up and to track volunteer engagement through volunteer hours.
  • Ensure volunteers exist in the database systems, support staff in VMS use, and keep all volunteer information and opportunities up to date. Work with CRM/VMS engagement tools to track volunteer management processes and support all tasks involved in volunteer engagement lifecycle.
  • Maintain volunteer administration files such as role profiles, terms of reference, policies, schedules, marketing/recruitment collateral, guides, handbooks, operations/procedures, volunteer agreement forms, tracking systems/spreadsheets, etc.
  • Handle all customer communications and responses through the volunteer engagement inbox which includes inquiries from the United Way Website, responses to recruitment postings/open opportunities, administrative questions/concerns for new or prospective volunteers, scheduling prospect meetings/interviews, etc.
  • Support Cabinet engagement through on-going administrative functions including managing Cabinet meeting calendars, set up and support of in-person and virtual all Cabinet meetings, maintenance and troubleshooting for Cabinet Portal (SharePoint site), writing/preparing broader Cabinet communications, coordinating and information sharing with Staff Partners, events support, and supporting Volunteer Engagement team with Cabinet plans and activities, files management, and meeting minutes.
  • Support org-wide volunteer data management and collection practices by working with staff across various volunteer segments and roles to effectively collect data related to volunteers including contact information, roles/participation, volunteer hours, forms/waivers, and survey data.
  • Support Affinity Groups and Volunteer Engagement (AGAVE) team with administrative requirements such as day-of event support, volunteer recruitment & processing, attendance tracking, and communications preparations for event-based activities.
About You

You are someone who thrives in administrative and support roles and are eager to apply your exceptional customer service and administrative expertise to this role and provide opportunities that capture the hearts and minds of our volunteers. You have amazing writing and presenting skills being that communication is so important in this role. You are also experienced in administrative tasks including managing calendars and external commitments, preparing communications, managing multiple inboxes, drafting agendas and speaking notes, taking meeting minutes, etc.

You have a can-do attitude, are outcomes driven, and approach situations with empathy and collaboration. You are motivated to think creatively, stay highly organized, and build relationships. You love applying your administrative skills and knowledge to meaningful work and you thrive in a digital environment. You are a natural with technology and are proficient with MS Office (we use Office 365 – MS Teams, SharePoint), have basic CRM systems experience, and enjoy learning and using new technology.

You have a post-secondary degree or diploma in Business, Social Sciences or related field, and a minimum of two (2) to three (3) years of related experience, providing exceptional customer service and administrative support. A combination of education and experience will be considered.

A valid driver's license and vehicle are required as travel will be involved within Edmonton and surrounding area and you have flexibility to work some evenings and weekends depending on the events and meetings that are going on.
