Position Overview:
The ideal candidate for the Administrative Services Coordinator role will be situated in our Courtenay Office and will report directly to the Business Manager. This position is pivotal in supporting engineers and geoscientists by managing invoicing, procurement, logistics, maintaining organized filing systems, overseeing fleet operations, entering data into our project management software, coordinating travel arrangements, and collaborating with administrative teams across various locations.
Key Responsibilities:
- Engage in professional and courteous communication.
- Handle incoming calls and direct them appropriately.
- Assist with procurement, logistics, and travel arrangements.
- Support timekeeping, invoice generation, and collections processes.
- Contribute to system administration and fleet oversight.
- Maintain existing filing systems effectively.
- Assist with safety program initiatives.
- Collaborate with and support administrative teams in other locations.
- Provide assistance to team members as required.
- Perform general office maintenance and duties.
- Undertake additional related tasks as assigned.
Required Skills and Qualifications:
- Strong organizational and time management abilities.

- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks efficiently.

Education and Experience:
- Administrative Assistant Certificate or equivalent experience.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Valid driver's license.
