Job Summary

We are seeking a highly skilled and experienced Administrative Support Specialist to join our team at Capital One. As an Administrative Support Specialist, you will provide exceptional administrative support to our executives, ensuring the smooth operation of our organization.

Key Responsibilities
  • Calendar Management: Manage daily calendars for multiple executives, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Travel Arrangements: Coordinate travel arrangements and create expense reports in a timely manner using Capital One systems.
  • Meeting and Event Planning: Drive key team activities and events, such as all-hands meetings, team meetings, conferences, and social events.
  • Communication: Prepare professional business communication documents, including memos, letters, and emails.
  • Relationship Building: Build and maintain good business relationships with executives and administrative staff across our various organizations.
  • Administrative Duties: Perform general administrative duties, including copying and faxing, distributing mail, and ad-hoc projects.
Requirements
  • Education: High School Diploma, GED, or equivalent certification.
  • Experience: At least 2 years of administrative experience, with a minimum of 2 years of experience in Google Suite or Microsoft Office Suite.
Preferred Qualifications
  • Education: Associates Degree.
  • Experience: At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • Calendar Management: At least 3+ years of calendar management supporting multiple executives.
  • Google Suite Experience: At least 1+ year of experience in Google Suite.
  • Meeting and Event Planning: At least 1+ year of experience in meeting and event planning.
  • Technical Skills: Experience setting up video conference and Zoom/Skype technology for meeting users.
  • Soft Skills: Excellent written and verbal communication skills, excellent organizational skills, and the ability to work effectively in a team environment.
