Job Summary

Key Responsibilities
  • Provide administrative support to the Massage Therapy Clinic, including keyboarding, basic editing, reception, photocopying, arranging meetings, ordering supplies, mail distribution, and phoning.
  • Answer enquiries requiring a solid understanding of regulations and services offered.
  • Establish timelines and priorities for tasks.
  • Complete complex special projects independently, which may require the use of database and spreadsheet software.
  • Complete complex administrative forms, which require cross-checking for compliance with regulations and accuracy.
  • Keep departmental records, including several interrelated records and cross-checking for accuracy.
  • Compose replies to correspondence.
  • Attend meetings and take minutes.
  • Establish and maintain files pertaining to the department(s) concerned.
  • Maintain security of sensitive and confidential documents and files.
  • Where required, use a cash register, receive codes and receipts cash and cheques, balance cash to cash receipts, and complete required cash reports.
Qualifications
  • Grade education and secretarial certificate, plus two years of related experience or equivalent combination of education and experience.
  • Advanced word processing skills essential.
  • Advanced MS Office skills, including knowledge of spreadsheets and database applications.
  • Ability to maintain confidentiality and to relate well with the public, students, and college staff.
