Job Summary

We are seeking a highly organized and detail-oriented Social Services Support Specialist to join our team at PHSA. As a key member of our Forensic Mental Health department, you will provide administrative support to our social work team, ensuring the smooth operation of our programs and services.

Key Responsibilities

  • Provide clerical support to the social work department, including gathering and maintaining patient records, scheduling appointments, and preparing reports.
  • Liaise with interdisciplinary teams to provide program-related information and represent the assigned program at meetings as required.
  • Prepare and mail packages containing consent forms and questionnaires to internal and external partners, and monitor the return of these documents.
  • Collect and enter data into computerized systems, ensuring data is up-to-date and accurate.
  • Set up and maintain patient and administrative filing systems, adhering to policies and procedures designed to protect confidentiality.
  • Upload patient paperwork into the database and monitor and request missing documents from clinical staff.
  • Provide administrative duties as required, including answering phone calls, emails, and general inquiries from hospital and community.

Requirements

  • Completion of a recognized Social Service Worker or Social Service Diploma Program, or an equivalent combination of education, training, and experience.
  • General knowledge of social work, mental health, and substance services.
  • Ability to relate well with others and work effectively in a multidisciplinary team.
  • Excellent communication and organizational skills.
  • Ability to operate related equipment, including basic knowledge of computer software.
  • Physical ability to carry out the duties of the position.
  • Knowledge of medical terminology.
