About the Role

McCarthy Tétrault is seeking a highly skilled Conflicts Coordinator to join our team. As a Conflicts Coordinator, you will play a critical role in ensuring the firm's compliance with conflict of interest regulations and maintaining the integrity of our client relationships.

Key Responsibilities

  • Perform conflict of interest searches in various databases to identify potential conflicts and ensure compliance with regulatory requirements.
  • Analyze corporate family tree research and sanction lists to improve the relevance of conflict reports for lawyers.
  • Develop and maintain accurate and up-to-date information on client relationships, including client contact details and matter plans.
  • Provide training and assistance to legal assistants and lawyers on conflict of interest procedures and requirements.
  • Review and validate Know Your Client (KYC) requirements and ensure compliance with regulatory requirements.
  • Manage Anti-Money Laundering (AML) processes to ensure compliance with law society regulations and reduce exposure/risk for the firm.
  • Identify and manage confidential matters and ensure the integrity of all parties involved.
  • Update and maintain accurate information on client matters and client contacts in the accounting database.
  • Assess and apply correct tax to new matters based on Place of Supply and PST rules.
  • Manage information related to billing formats and e-billing clients.
  • Create, update, and manage matter plans and rate details.
  • Reassign or close client and matter files for departing lawyers.
  • Obtain approvals for and maintain lists of non-billable matter numbers.
  • Generate and organize lateral hire conflict reports in a timely manner and ensure necessary security is applied to confidential and sensitive data.
  • Oversee the firm's engagement letter process and repository, ensuring executed engagement agreements are in place in accordance with the firm's policy.
  • Analyze engagement letters and disseminate relevant details to the appropriate individuals/groups.
  • Assess client activity to ensure client relationships are accurately recorded and escalate to approvers as necessary.
  • Ensure appropriate coverage is available at all times, adjusting work schedules as needed.

Requirements

  • Post-secondary education related to accounting or database management principles.
  • Minimum 3-5 years of related experience, ideally acquired in a legal or professional services environment.
  • Accounting knowledge, gained through post-secondary education or experience.
  • Bilingual (English/French) with excellent verbal and written communication skills is an asset.
  • Ability to handle multiple tasks and work under pressure to meet deadlines.
  • Exceptional analytical and problem-solving skills.
  • Strong attention to detail and organizational skills.
  • Knowledge of business and legal terminology.
