Job Overview
The Financial Operations Manager will be integral to the organization's financial and accounting functions, contributing to strategic planning for expansion and aligning with corporate objectives. This role requires a positive attitude and adaptability to handle various tasks as they arise. The focus will be on the daily management of financial and accounting operations to ensure efficiency and enhance profitability. Initially, this position will be office-based, with the possibility of hybrid work arrangements in the future.

Responsibilities

  1. Optimize daily financial operations, managing all transactions related to the general ledger, accounts payable/receivable, monthly financial reporting, reconciliations, payroll, and project accounting.
  2. Collaborate in the design and execution of financial strategies, including forecasting, budgeting, and internal control measures.
  3. Prepare and analyze financial statements, budgets, and forecasts promptly; generate monthly/quarterly variance reports to offer insights into the organization's financial health, including cash flow management.
  4. Assess and review business policies and plans to identify financial risks, advising the Owner on potential issues and collaborating on risk mitigation strategies.
  5. Provide regular updates on key financial metrics and cost management to the Owner.
  6. Work closely with leadership to deliver strategic financial reporting, analysis, and guidance.
  7. Monitor the organization's financial performance against established goals, ensuring progress and implementing corrective actions as necessary while balancing growth initiatives with cost control.
  8. Cultivate and maintain relationships with clients, contractors, consultants, government entities, financial institutions, legal advisors, accountants, and insurance providers.
  9. Stay informed about relevant legislation, regulations, and policies affecting financial operations, including payroll remittances and sales tax obligations.
  10. Review client invoices and resolve discrepancies professionally and promptly.
  11. Validate and authorize employee expense claims.
  12. Assist with Project Accounting by tracking costs, billable/non-billable hours, utilization rates, and efficiency, while updating project budgets and reporting on final outcomes.
  13. Collaborate with Project Managers to ensure project budgets are accurate, work-in-progress is current, and invoices are generated correctly and timely.
  14. Set up jobs in the accounting system and on servers; review and correct coding for all job-related expenses.
  15. Analyze contract terms for revenue recognition and billing criteria.

Skills

  1. Experience managing accounting/financial operations for a division or organization is advantageous.
  2. A minimum of 5 years of accounting/finance experience in progressively responsible roles.
  3. CPA designation is preferred.
  4. Bachelor's degree in Accounting, Business, or Finance.
  5. Strong understanding of fiscal management, accountability, and business finance.
  6. Excellent verbal and written communication skills.
  7. Ability to interpret contract information effectively.
  8. High attention to detail and accuracy.
  9. Strong integrity, confidentiality, and accountability.
  10. Capability to explain financial concepts to individuals with varying levels of financial knowledge.
  11. A well-defined sense of diplomacy.
  12. Ability to identify key issues and creatively address internal challenges.

Work Conditions

  1. Primarily an in-office environment.
  2. Overtime may be required.
  3. Travel may be necessary.
