Position Overview:

Key Responsibilities:

  • Serve as the primary point of contact for students, employers, staff, faculty, and the public through various communication channels.
  • Manage and oversee common email accounts, ensuring timely responses and appropriate distribution of inquiries.
  • Maintain and update records for students and employer partners within the internal database (CareerZone).
  • Conduct audits on co-op student data and registration processes each term.
  • Generate comprehensive reports on appointment statistics, employment data, and work term records.
  • Provide initial troubleshooting support for the internal database across all user groups.
  • Perform routine updates and maintenance on database modules and forms.
  • Test database functionalities following system updates to ensure optimal performance.
  • Post job opportunities on the job board database, ensuring accuracy and completeness.
  • Coordinate interview arrangements for students and employers, including scheduling and logistics.
  • Support programming and workshops by managing logistics such as room bookings and catering.
  • Track and maintain the hybrid work schedule for the team.
  • Prepare and process financial documents including invoices and purchase orders.
  • Assist with employment contracts for student staff within the HRIS system.
  • Provide administrative support to the Associate Director and management team as needed.

Qualifications:

  • Completion of post-secondary education in office administration, computer applications, or a related field, or equivalent experience.
  • A minimum of 2 years of experience in a high-volume administrative support role, preferably within a university setting.
  • Proficient in Microsoft Office Suite, Adobe Acrobat, and various database and web-based software.
  • Strong attention to detail with a commitment to maintaining accuracy in all tasks.
  • Familiarity with confidentiality requirements and privacy legislation.
  • Ability to work independently while contributing to a collaborative team environment.
  • Excellent customer service skills and a strong service orientation.
  • Proficient in prioritizing tasks and managing time effectively.
  • Experience with database troubleshooting and providing effective solutions.

Preferred Skills:

  • Experience with the Orbis platform.

Compensation and Benefits:

  • Salary range: OSSTF (I), Salary Scale ($43,107-$60,621).
  • Comprehensive benefits package including tuition waiver.
