Job Overview

As an Administrative Coordinator in the Cardiac Care Unit, your primary responsibility will be to provide comprehensive administrative, clerical, and receptionist support within a confidential and professional environment. You will utilize your strong communication skills, critical thinking, and problem-solving abilities to manage the demands of a fast-paced healthcare setting. This role plays a vital part in supporting the hospital's commitment to patient-centered care and academic excellence through education and research initiatives.

Key Responsibilities

  • Adhere to hospital policies and procedures while maintaining a high standard of patient care.
  • Serve as a liaison for patients and families, utilizing customer service principles to facilitate interactions, including patient registration and call triaging.
  • Coordinate interdepartmental activities, including patient transportation, appointment scheduling, and discharge processes.
  • Manage incoming communications for healthcare professionals, ensuring efficient message transmission and appointment scheduling.
  • Collaborate with the Clinical Team Manager to address and escalate issues in a timely manner.
  • Compile and distribute materials related to departmental activities.
  • Maintain accurate attendance and time reporting, coordinating relief staff as necessary.
  • Process provider orders and support clinicians with system functions related to patient scheduling.
  • Manage requisitions and follow up on outstanding test results and appointments.
  • Organize patient admissions and discharges, ensuring accurate documentation and electronic record management.
  • Prepare reports and discharge instructions, handling photocopying and information processing as required.
  • Monitor and manage office supply inventory, ensuring timely orders and receipt verification.

Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent.
  • Medical office assistant certification or at least one year of relevant office experience in a medical setting.
  • Familiarity with medical terminology and proficiency in medical transcription.
  • Experience with payroll processing and staff scheduling.
  • Commitment to providing patient-centered care.
  • Minimum typing speed of 45 words per minute.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in a customer service role within a fast-paced environment.
  • Previous experience in an inpatient unit is preferred.
  • Bilingualism in French and English is an asset.
