Job Summary

The Department of Electrical and Computer Engineering at the University of British Columbia is seeking a highly organized and detail-oriented Undergraduate Programs Assistant to join our Student Services and Engagement team. As a key member of our team, you will play a vital role in supporting the smooth operation of our undergraduate programs, ensuring the delivery of an exceptional student experience, and providing exceptional service to our students and faculty.

Key Responsibilities
  • Process manual course registration requests, manage course waitlists, and perform other duties related to course management.
  • Provide academic advising and support to undergraduate students, including answering questions about degree requirements, academic progress, and program completion.
  • Review and update student records in accordance with UBC policy.
  • Process program transfers and assist with course scheduling, timetabling, and final exam scheduling.
  • Coordinate with course instructors to ensure timely final course grade uploads.
  • Work closely with the Associate Head, Undergraduate Affairs, and the Manager, Student Services and Engagement, to confirm student eligibility for graduation.
  • Assist faculty with handling academic misconduct cases and ensure students' compliance with course prerequisites, co-requisites, and required coursework.
  • Support the development of programming aimed at engaging ECE undergraduate students and enhancing their overall student experience.
  • Provide guidance to ECE student teams on administrative matters, such as event planning and submitting funding requests.
Requirements
  • High School graduation, plus one year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives and a demonstrated commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.
