Job Summary

The Department of Electrical and Computer Engineering (ECE) at The University of British Columbia is seeking a highly organized and detail-oriented Undergraduate Programs Assistant to support the smooth operations of our undergraduate programs. As a key member of the ECE Student Services and Engagement team, you will be responsible for providing exceptional student support, coordinating program activities, and ensuring the delivery of an outstanding student experience.

Key Responsibilities
  • Provide primary point of contact for undergraduate students, answering questions and resolving concerns in a timely and professional manner.
  • Support student advising, course registration, academic scheduling, and adjudication of awards, ensuring accurate and efficient processing of student records.
  • Coordinate with faculty and staff to ensure timely and accurate delivery of program information, course materials, and exam schedules.
  • Assist with curriculum administration, including compiling materials and collecting department feedback on curriculum matters.
  • Provide administrative support for student-focused events, such as orientation, program information fairs, and graduation.
  • Collaborate with the ECE curriculum committee to ensure accurate and up-to-date curriculum information.
  • Perform other duties as required to support the ECE Student Services and Engagement team.
Requirements
  • High School graduation, plus one year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Excellent communication and interpersonal skills, with the ability to work effectively with students, faculty, and staff.
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office and ability to learn new software applications.
Preferred Qualifications
  • Experience working in a student services role, preferably in a university setting.
  • Knowledge of university policies and procedures, particularly those related to student records and academic programs.
  • Ability to work independently and as part of a team, with a high degree of efficiency and effectiveness.
  • Strong problem-solving and analytical skills, with the ability to think critically and make sound judgments.
  • Ability to communicate effectively in a diverse and inclusive environment.
