Job Summary

The Department of Electrical and Computer Engineering at The University of British Columbia is seeking a highly organized and detail-oriented individual to fill the role of Undergraduate Programs Assistant. This position is a key member of the ECE Student Services and Engagement team, responsible for providing administrative support to undergraduate students and faculty.

Key Responsibilities
  • Program Support
    • Process course registration requests, manage course waitlists, and perform other duties related to course management.
    • Answer student inquiries about degree requirements, academic progress, and program completion.
    • Review and update student records in accordance with UBC policy.
    • Process program transfers and assist with course scheduling, timetabling, and final exam scheduling.
    • Coordinate with course instructors to ensure timely final course grade uploads.
  • Student Advising and Engagement
    • Act as the primary point of contact for undergraduate students, providing guidance on academic and non-academic matters.
    • Hold drop-in advising sessions and work collaboratively with team members to improve student advising services.
    • Identify students in crisis and recommend appropriate resources and supports.
  • Curriculum Support
    • Support the ECE curriculum committee with compiling materials and collecting department feedback.
    • Inform program support staff in other UBC departments about ECE curriculum changes.
  • General Administration
    • Provide cross-coverage for routine graduate program support duties and reception duties.
    • Make recommendations and contribute to the development of student-oriented administrative processes and procedures.
Requirements
  • High School graduation, plus one year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives and a demonstrated commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Preferred Qualifications
  • Ability to prioritize and organize multiple tasks effectively, maintain accuracy and attention to detail, and anticipate problems and issues.
  • Ability to compose clear and concise written materials, understand and apply policies and procedures, and provide quality service to a diverse group of students and faculty.
  • Ability to exercise sound judgment, tact, and discretion, and work effectively with minimal supervision.
