We are looking to restructure our support functions to include a skilled Administrative Assistant that can lend support to a Senior Executive Team consisting of 8, and to enhance their efficiency and effectiveness.

The Administration Assistant will provide financial, logistical and operational support for the Senior Executive Team. They will be responsible for coordinating the day-to-day activities of the office, providing confidential administration support, including providing committee support, administering budgets, tracking projects and developing guidelines, processes, procedures, and systems.

Responsibilities:

- Utilizing financial prudence, plan, recommend and secure complex travel arrangements for the entire company including flight, hotel and rental vehicles
- Manage complex and constantly changing calendars
- Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes
- Participate in meetings and learning events, engage in team initiatives and projects, and provide short-term support for colleagues
- Serve as the point of contact for general communications, screening phone calls, emails, mail, and visitors; route and resolve information requests
- Manage various databases and records while maintaining strict confidentiality
- Prepare and submit detailed expense reports; reconcile complex statements
- Use technical tools and software such as Microsoft Office Suite, specifically Word, Excel, and Visio
- Act as a virtual assistant and perform other duties as required
- Participate in executing company events (i.e.. Holiday luncheon, winter gala, Board Meetings, small conferences and/or workshops etc.)
- Participate as an active member of the on-site Occupational Health and Safety Committee

Requirements:

- A diploma or undergraduate degree in Office Administration is an asset
- 2+ years’ experience providing administrative support, preferably in fast paced environment
- Proficiency in MS Office, including word processing (Word), spreadsheets (Excel), presentations (Power Point), collaboration (Teams)
- Experience in securing travel arrangements is preferred
- Strong verbal and written communication skills
- Comfortable with routinely shifting demands
- Superior organizational and time management skills; with an extraordinary ability to validate accuracy of detailed information
- Working knowledge of general office equipment
- Strong critical thinking skills are imperative

$60,000 - $70,000 a year
