We are looking for a highly organized and detail-oriented Executive Assistant to support a busy executive in Toronto, Ontario. This contract position is ideal for someone with strong communication skills and a proven ability to manage schedules, coordinate meetings, and handle administrative tasks efficiently. The role requires close interaction with external stakeholders, including government representatives and industry partners, ensuring seamless calendar management and clear communication.

Responsibilities:
• Coordinate and manage the executive's calendar, scheduling meetings with internal and external stakeholders.
• Organize and facilitate virtual meetings using platforms like Cisco Webex, ensuring smooth communication.
• Handle travel arrangements, including booking flights, accommodations, and preparing itineraries.
• Process expense reports and reimbursements using systems such as Concur.
• Prepare and distribute meeting materials, agendas, and follow-up documents.
• Maintain accurate records through document scanning, photocopying, and filing.
• Assist with timekeeping and payroll duties using Kronos Timekeeping System.
• Act as the primary point of contact for the executive, managing correspondence and prioritizing urgent matters.
• Support CRM data entry and management to ensure stakeholder information is up-to-date.
• Provide general administrative support to the executive and team as needed.
