POSITION DESCRIPTION – SPECIALIST, PAYROLL & BENEFITS (12-MONTH CONTRACT)

POSITION OVERVIEW

Reports to: Senior Manager, Payroll & Benefits

Location: While Vancouver, BC is the preferred location, we are open to diverse applicants from across Canada who will be a great fit for our culture at Eldorado on a remote basis.

POSITION SUMMARY

As the Specialist, Payroll & Benefits reporting to the Senior Manager, Payroll & Benefits, you will provide reliable, responsive, accurate and timely payroll and benefits services in support of the corporate head office with its locations in Vancouver, Canada, and Amsterdam, Netherlands. You will support the consolidation of payroll and benefits processes for the Canadian payrolls and liaise with several internal and external stakeholders regarding a variety of matters, including but not limited to; wages, benefit and pension plans, long-term incentives, taxation, and reporting.

KEY RESPONSIBILITIES

The Specialist, Payroll & Benefits will be responsible for, but not limited to, the following:

Payroll & Benefits

- Processing of semi-monthly and year-end payrolls for Canadian salaried employees in a timely and accurate manner using Rise Payroll initially, and then using SAP Success Factors following the HCMS implementation
- Responsible for verifying the payroll data for accuracy, correcting any errors or omissions, and ensuring the completion of the semi-monthly payrolls by the strict time-sensitive deadline.
- Manage and administer all Canadian employee health and wellness programs, including extended health benefits, insurances, paid time off, savings plan and ESPP.
- Support the review of benefits design, benchmarking, make recommendations, and implement approved changes, including employee communication, as required.
- ESPP administration, elections, and reporting.
- Provide a high standard of employee support on all payroll and benefits matters.
- Responsible for administering all aspects of employee pay and benefits, from onboarding to departure.
- Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements and company taxonomy.
- Support the employee onboarding and offboarding processes.
- Other HR administration support as required.

Tax & Reporting

- Responsible for balancing earnings and deductions totals, inspecting automated system outputs such as registers and standard reports, determining and correcting out-of-balance conditions, journal entries, and benefits reconciliations.
- Prepares Record of Employment according to current Service Canada instructions and legislation.
- Responsible for issuing and distributing annual T4 tax forms, all year-end reporting, and coordinating with tax consultant for salary splitting.
- Responsible for serving as a liaison for site payroll-related matters with superior customer service.
- Liaison with Finance on payroll-related matters.

Continuous Improvement

- Review payroll and benefits processes and controls, make recommendations, implement approved improvements, and enhance process documentation.
- Provide subject matter expertise when participating in payroll projects and integration efforts.
- Perform other related duties as assigned.
- Alternate and back up to the Senior Specialist, Payroll and Benefits position.

QUALIFICATIONS, KNOWLEDGE & PREVIOUS EXPERIENCE REQUIREMENTS

Required:

- A minimum 5-7 years of payroll and benefits experience.
- National Payroll Institute PCP designation required; professional credits maintained annually.
- Proficiency with Microsoft Office applications including strong proficiency in Microsoft Excel.
- Strong organizational, multi-tasking and priority management skills.
- Ability to positively contribute in a team environment, contributing to shared team goals.
- Ability to effectively investigate & problem solve technological issues related to payroll processing.
- Ability to meet deadlines while maintaining an impeccable level of accuracy, quality and meticulous attention to details.
- Superior customer service skills.
- Excellent communication skills (written and verbal).
- Exhibits a high level of professionalism (tact, discretion, and to be entrusted with confidential information), excellent interpersonal, analytical and follow-up skills.
- Proactive, results-oriented, and resourceful.
- Self-motivated in keeping abreast of legislative and regulatory changes.
- Proficient with methods, principles and practices involved in the preparation, calculation and processing of payroll.

Assets:

- Expat payroll experience an asset.
- Experience with hypothetical taxing, shadow payrolls, and gross up calculations an asset.
- Experience and familiarity with Rise Payroll considered an asset.
- Experience with share-based compensation administration an asset.
- Experience with system implementation considered an asset.

The salary range for this position is $72,000 to $99,000. The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies, taking into consideration internal equity. Qualified candidates with the required qualifications and relevant experience can expect an offer between the minimum and around the midpoint of the range. Progression toward the higher end of the range is based on higher qualifications and experience or demonstrated performance in the role.
