Location: Vancouver, BC (hybrid)
Employment Type: Temporary Full-time – Medical Leave Coverage
Reports To: Payroll Team Lead
Job Summary:
We are seeking a detail-oriented and experienced Payroll Specialist to manage payroll processing for employees, contractors, and consultants deployed to client sites in both Canada and United States. This role ensures accurate and timely payroll execution while maintaining compliance with federal, state, and local regulations. The ideal candidate will have a strong understanding of payroll laws, multi-state payroll processing, and experience working with various worker classifications.
KEY RESONSIBILITIES
Payroll Processing & Administration:
*Process weekly and biweekly payroll for employees, contractors, and consultants.
*Ensure accurate payroll calculations, deductions, and withholdings, including taxes, benefits, and garnishments.
*Handle multi-state payroll processing, ensuring compliance with state-specific regulations.
*Manage payroll adjustments, bonuses, commissions, and reimbursements.
*Coordinate with finance, timesheet, and other team members to ensure proper payroll funding and reporting.
Compliance &Reporting:
*Maintain compliance with federal, provincial/ state, and local payroll regulations.
*Prepare and file payroll tax reports, including 941s, 1099s, W2s, T4 and T4A-NR in Canada, and other necessary filings.
*Stay updated on payroll laws and tax regulations affecting employees, contractors, and consultants.
*Assist with audits and respond to payroll-related inquiries from employees, contractors, consultants and other stakeholders.
Systems & Process Improvement:
*Utilize payroll software to ensure efficient and accurate payroll processing.
*Work with HR and finance teams to improve payroll workflows and automation.
*Maintain payroll records and ensure data integrity.
*Import payroll data to QuickBooks
Employee, Contractor and Consultant Support:
*Address payroll-related inquiries and resolve discrepancies in a timely manner.
*Provide guidance on payroll policies, tax withholdings, and payment structures.
*Ensure proper classification of workers (W-2 vs in accordance with IRS guidelines.
QUALIFICATIONS AND SKILLS
*Mid-senior level payroll experience, with solid knowledge in payroll. USA payroll experience would be an asset.
*Experience working with payroll systems (Vensure, ADP, Telpay, online banking, and Quickbooks)
*Exceptional customer service – someone always willing to help and go the extra mile
*Communication skills – someone to explain financials in simple terms
*Proven teamwork and leadership skills
*Superior people and client service skills
*Outstanding interpersonal skills with an ability to work effectively with diverse groups of people within diverse groups of people within the firm and at clients
