The institution has embedded circular economy principles into its operations and has successfully developed a Furniture Reuse Program to divert surplus items from the landfill. The Furniture Reuse Program supports UBC Faculties and departments at the Vancouver Point Grey campus, to reuse items including furniture, office supplies, artwork and electronics, contributing to UBC’s climate and sustainability goals.
Job Summary
Organizational Status
The Reuse Program Assistant will report to, and take direction from, the Reuse Initiative Coordinator. The position will also liaise and engage with the various faculties and administration groups on campus, Communications staff, and external organizations and members of the public. This position is 20 hours per week, two-year term, with potential for future expansion of hours and/or extension of term.
Work Performed
1. Furniture inspection and recording: Pre-screens and inspects potential furniture donations for acceptance by the program. Updates the inventory list of available furniture by counting, labelling, measuring, photographing, and recording data into excel spreadsheets. Oversees incoming and outgoing items to campus storage sites. Supervises movers during move process, provides access to storage rooms and reviews incoming items for damage.
2. Furniture sales and Zero Waste Market operations: Schedules and attends appointments with customers at various locations across the campus, including online Zero Waste Market customers. Maintains a good working knowledge of available furniture items, including what items are available and where they are stored. Assists customers with selection and purchase of furniture items. Accurately records and reports sales transactions to the reuse coordinator. Maintains inventory records for incoming and outgoing stock. Prices furniture and other items for resale.
3. Administrative support: Publicizes activities of the program through internal newsletters, including writing content, tracking publications, and scheduling postings. Drafts graphic images and program support materials such as business cards, banners, and posters using Photoshop, InDesign, or Canva. Assists with incoming customer inquiries. Coordinates and schedules on-campus promotional events.
4. Performs other related duties as required.
Consequence of Error/Judgement
Work is expected to be at a high level of accuracy and is critical to the success of the program. Failure to coordinate pick-up of furniture in a timely manner may result in furniture in good condition being sent to the landfill. Poor attention to detail and time management may result in lost opportunities for the University to reduce waste by reusing furniture and equipment, resulting in unnecessary costs for the purchase of new items.
Supervision Received
Works independently on tasks and activities under the direct supervision of the Reuse Initiative Coordinator.
Minimum Qualifications
High school graduation with training in basic office procedures and practices and a minimum two years of related experience or an equivalent combination of education and experience.

Preferred Qualifications
Other assets include background in sales or furniture, experience with online inventorying systems or software; and knowledge/experience of university facilities, systems, policies and procedures.
Ability to communicate effectively verbally and in writing. Basic skills in Microsoft Office and Adobe Photoshop, or other graphics software. Experience with collecting data, maintaining spreadsheets, inventory tracking and related activities. Communications experience related to writing content or designing graphic materials is desired.
