**Manager, Undergraduate Services**:
**Primary Purpose**:The Manager of Undergraduate Services position will coordinate and manage the student services that define, enhance, and support the student experience for roughly 10,000 Arts & Science students throughout the academic year. The services and processes that the Manager will be responsible for relate to admissions, scholarships and awards, exams, and advising, all of which will enhance the reputation and recruiting of the institution, ensuring Arts and Science students have an efficient, enriching, and transformative experience in their undergraduate studies. Because of the interconnectedness of academic programming across the university, Arts & Science courses are required for many other academic programs. The effective management of the student experience in Arts & Science affects students university-wide. The Manager will manage a team of academic service specialists in the Undergraduate Student Office, and provide guidance and training for the department and program advisors. The Manager will also play a major role in academic advising, data access and maintenance of student records, administering scholarships and awards, co-curricular records, managing supplemental and deferred examinations, and administering faculty actions (such as when students are required to discontinue studies).

**Nature of Work**:Reporting to the Director of Student Advising and Academic Services, the Manager of Undergraduate Services:

- Exercising independent judgement, discretionary and creative decision making, and effective leadership (including knowing when and with whom to consult) on a consistent basis.
- Responds to everyday and emergent issues efficiently in a high-volume, multi-tasking environment; works with unpredictable and highly confidential information and events in a sensitive and timely manner; and is able to deal with administrative personnel and student emergencies as they arise.
- Exerts critical influence on the student experience and impacts the reputation of the College and the University
- The standard of the quality of work and timely completion of projects is high. The cost of every error is very high: Mistakes cost students time, money, and frustration, and can cost the College money and embroil faculty and staff in time-consuming processes, and can expose the College and the University to reputational as well as legal risks.

**Typical Duties/Accountabilities**:

- Manages administrative staff including supervision, assignment of duties, staff development and training, feedback, recruitment, retention, and performance management to ensure high standards of performance and service
- Ensures students, prospective students, parents, high school guidance counsellors, and members of the public at large have easy access to accurate, pertinent, and up to date information relating to all aspects of student services.
- Ensures that all Arts and Science students receive the advising support they need, including students with disabilities and/or special needs, international students in the College and students in Arts and Science learning communities
- Oversees scholarships, dean’s lists and supplemental and deferred exams to make sure everything runs smoothly and accurately.
- Oversees the implementation, management and process of the co-curricular record with students and department staff members
- Help design and implement procedures for assessment of student services in the College.
- Proactively manage change and inculcate a culture of innovation and creative problem-solving.
- Develop innovative strategies to manage workflow.
- Ensure the effective and accurate exchange of specialized complex information, and oversee the referral of issues, information, students to appropriate stakeholders and off campus personnel.
- Prepares, assesses and evaluates UGSO staff members such that students receive the academic services that they require.
- Coordination of the services that are provided to students who are in the Learning Communities in the College of Arts and Science.
- Demonstrates success by improving measured student retention, persistence and graduation rates, and raising measured levels of student satisfaction with student services.
- Develop student advising service priorities and practices in the College so they align with other colleges and the university at large

**Qualifications***

**Education **A Bachelor’s degree in a relevant Arts & Science discipline; a Graduate degree would be considered an asset.

**Experience**:

- 5 or more years in post-secondary environments working in student services or related roles. Knowledge and awareness of best-practices in student services. Demonstrated success in developing and implementing student service strategies in a post-secondary education environment.
