**Job Summary**:
The Administrative Assistant provides administrative and operational support to the President to ensure that company goals and objectives are accomplished and that priorities of the business are met. The Administrative Assistant must interact seamlessly and with a professional demeanor across a broad range of individuals and be able to identify and anticipate the President’s needs. To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.

**Responsibilities and Duties**:

- Prepare invoices for Spare Parts and Field work.
- Schedule Field work.
- Track Field work and vacation into Excel spreadsheets.
- Prepare Field work proposals/quotes.
- Prepare Field work compensation calculations for payroll.
- Answer and direct phone calls.
- Provide information by answering questions and requests.
- Organize and schedule appointments and meetings.
- Prepare and distribute correspondence such as memos, letters, reports and forms.
- Submit and reconcile expense reports.
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; and maintaining supplies.
- Maintain inventory of supplies.
- Take accurate minutes of meetings.
- Prepare and post company marketing information on social media platforms.
- Greet and assist visitors to the office.
- Handle sensitive information in a confidential manner.
- Any other duties as assigned.

**Required Qualifications**:

- Post-secondary education in a related field of study.
- 5 years or more experience in an administrative role supporting a senior executive, preferably in an entrepreneurial environment.
- Excellent communication skills both written and verbal.
- Excellent organizational and time management skills with the ability to multi-task and prioritize work in a fast-paced environment.
- Strong attention to detail and problem-solving skills
- Self-motivated, flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information and use discretion and judgment as required.
- Proficient in MS Office Suite (Outlook, Word, PowerPoint, and Excel).
