**The Position**:
In support of Havergal’s pursuit to enroll mission fit students and families through a process that is guided by our values, the Admission Coordinator plays a pivotal role in supporting Havergal’s reputation for excellence. By providing outstanding customer service while administering the admission processes and procedures relating to enrollment through outstanding technology skills, the Admission Coordinator supports the department and uses their creativity and curiosity to assist the School retain its status as a leading independent school in Canada.

**Specific Accountabilities**:
**Admission Process Management and Customer Service**
- Ensure all families feel welcome and supported in their interactions with Havergal
- Provide best in class customer service while responding to both verbal and written enquiries from the public, parents and teachers concerning admission to the Upper School (Middle, Senior and Boarding School)
- Maintain and update US applicant data, following up with any families who need to complete forms, send in reports or provide any additional documentation
- Conduct and arrange tours for families, working closely with the Admission prefect team and Student Ambassadors
- Arrange interviews for applicants and their parents with the Director of Admission and the Associate Director(s)

**Event Management and Outreach**
- Assist and organize assessment day procedures, scheduling applicant visits, copying any materials needed by the team.
- With input from the Director and Associate Directors, coordinate all admission events including but not limited to: Open House, Distinctly Havergal and new student and new family onboarding events.
- Support the Executive Director of Strategic Enrollment Management (ED SEM), and Manager of Parent Relations with major school events including Celebration Saturday.
- Attend weekly event meetings.
- Attend evening and weekend admission events when necessary.

**Data Management**
- Oversee the Admission module of Veracross, performing weekly data integrity checks
- With the Director of Admission, manage the Admission calendar, ensuring deadlines are met and that the team is aware of upcoming events that may have an impact on the daily operations of the office (travel, testing dates etc.)
- Work with the Director of Admission and ED SEM to produce reports for the Senior Leadership Team and the Board of Governors, building pertinent reports in Veracross
- Perform other duties as required.

**Qualifications, Knowledge and Experience**
- Related post-secondary education or equivalent work experience
- Minimum 5 years’ experience working directly for senior management
- Experience in an educational setting a definite asset
- Strong computer (Google suite, Word, Excel and databases), organizational and analytical skills required
- Event planning and coordination experience and knowledge
- Demonstrated ability to juggle competing priorities and to re-prioritize throughout the day in a fast-paced environment
- Must handle sensitive information in a highly confidential manner
- Excellent interpersonal and communication skills, both oral and written
- A self-starter who takes initiative, is proactive, problem solves and is a team player
- Able to react with grace under pressure, treat all families with dignity and respect
