Job Summary

The School of Biomedical Engineering (SBME) at the University of British Columbia (UBC) is a partnership between the Faculties of Applied Science and Medicine, established in 2017. Currently the School has 36 core and joint faculty located on campus and at healthcare research institutes, 400+ undergraduate and undergraduate students, 20+ administrative staff and several research core service facilities. The School is a nucleus for education and training, research, and innovation in biomedical engineering, creating new knowledge, new academic and training programs, and fostering translation and innovation, aspiring to be a global leader in the field. Its vision is to transform health care outcomes through unconstrained exploration of the best possible integrative solutions across engineering, medicine, and biology.

The Special Projects Coordinator will provide administrative and coordination support for the School of Biomedical Engineering Student Services. Main duties will include providing general day-to-day administrative support to the Senior Manager, Academic and Special Programs, Capstone Instructors, the Director of the Undergraduate Program and the Director of the Gradate Program. The incumbent will coordinate the creation and development of Student Services’ initiatives and projects and provide administrative support with the growth of the MEng program. This position also provides shadow coverage for other assistant roles within School of Biomedical Engineering Student Services. Under the direction of the Senior Manager, Academic and Special Programs, the Coordinator will establish a work plan and revise it as needed to address current priorities for Student Services and SBME. As such, projects will change according to operational need.

During accreditation periods for the undergraduate program, the Special Projects Coordinator will provide administrative support as required.

Organizational Status

This position is supervised by the Senior Manager, Academic and Special Programs. The Special Projects Coordinator will also receive instructions and work assignments from Assistant Manager, Student Services, faculty members responsible for accreditation process, Director of Undergraduate Program and Director of Graduate Program. The incumbent will work closely with other faculty and staff in the School, and other stakeholders at UBC.

Work Performed

Program Support:

- Oversees program support and the creation and development of Student Services’ initiatives and projects.
- Administers workflow of the program and performs administrative duties such as creating, compiling, and maintaining organizational and procedural documentation; arranging meetings and catering; as well as transcribing and distributing minutes. Provides other clerical support, as needed.
- Coordinates event planning and execution of events and activities related to the School, including student recognition events, outreach activities, department activities, and recruitment events.
- Manages the ongoing collection of syllabi and archived course material for every course per term for web posting and long-term storage. Oversees the collection and management of the teaching material repository for all BMEG courses.
- Resolves basic registration inquiries and requests from students. Completes course pre-requisite checks.
- Responsible for assisting with ad-hoc booking requests for faculty and staff in relation to course and/or special event needs.
- Provides back-up coverage for other positions when needed.
- Responsible for inventory management of supplies and equipment owned by the Student Services Office. Manages organization of store room, requests for use of supplies and equipment by other offices/units, and monitors the condition of assets.
- Maintains records and student files. Organizes long term file management and storage for the office.
- Backfills/supports the student-facing Program and Advising Coordinators during busy periods such as registration
- Performs other tasks in keeping with the level, as required.
