**Purpose**

To provide administrative and related support to the centralized portfolio management function of Scotia Private Investment Counsel. The position has an emphasis on trading support which includes, but not limited to, accurate and timely trade entry, trade notification and settlement coordination. The role facilitates the orderly flow of information between the custodian’s settlement teams, Compliance, Traders and Portfolio Managers.

The Portfolio Administrator may be designated as the point of contact for trade records, general inquires pertaining to the portfolio accounting system and managing cash requirements, while working with large amounts of data as a result of the large number of accounts under management (>14,000). This may include contact with internal clients and external departments to gather and relay information or resolve problems.

**Key Accountabilities**

**Provide centralized portfolio management services by**:

- Provide timely support for the Traders, the Portfolio Manager or Associate Portfolio Manager, which may include the preparation and customization of various reports and maintenance.
- Perform verification of trade entry, reconciliation of outstanding orders, process trade corrections, trade notification, preparation of reports, and investigating settlement problems.
- Generation of trading lists for cash request and investments in order to maintain a positive cash balance in client portfolios in line with the asset mix target on a timely and accurate basis.
- Compile trade information for foreign exchange trade processing.
- Assisting with the deployment of operational efficiencies which reduce costs and mitigate risks.

**Contribute to the effective functioning of the Centralized Portfolio Management team by**:

- Maintain accurate client information on computer systems and in organized client files, to be carried out in compliance with defined policies and procedures.
- Ensure accuracy of trading activities and compliance with all regulatory requirements and firm policies.

**Serve as a center of investment operations expertise for Wealth Managers and their teams by**:

- Maintain good knowledge on the custodial and investment systems (currently ADP & MPower), the interfaces and related processes.

**Ensure a high level of client satisfaction, internally and externally by**:

- Maintain a variety of posted material for both internal and external clients using Microsoft Word, Excel and PowerPoint.
- Clearly communicating information between team members and with the field and demonstrate effective listening skills.
- Promoting a positive attitude towards our team and advocating teamwork.

**Functional Competencies**
- Good interpersonal, communication & listening skills.
- Working knowledge of Private Investment Counsel business
- Working knowledge of the products and services offered by the Scotiabank Group of Companies (external to PIC).
- Some industry experience, notably in settlements area.
- Experience and user level proficiency with portfolio management and MS Office software

**Education Experience**
- A University Degree or College Diploma or equivalent.
- CSC, or working towards the CSC.
