Portfolio Administrator

The Portfolio Administrator is responsible for compiling and reporting all property-related revenues and acts as a liaison between the resident managers and corporate office for a portfolio of properties.
**RESPONSIBILITIES**:
- Generate, review and analyze rent, receivables, and monthly management information reports
- Review and reconcile monthly rent roll on the 1st of the month and process appropriate corrections
- Process information for those residents moving out and issue appropriate refund cheques
- Process pre-authorized payments from residents
- Liaise with Resident Managers, District Managers, internal Managers and colleagues to ensure appropriate information is received, recorded and provided as requested either through regular monthly reports or ad hoc requests
- Issue monthly rent increases in Yardi, generate preliminary edit list, process changes, final list and print rent increase notices and lease renewals
- Reconcile charges on tenant ledgers and assist in the recovery of outstanding rents.
- Process collection packages for past tenants with outstanding rent balances and or charges
- Follow up with Resident Managers, District Managers and Vice Presidents regarding unpaid balances and adjustments - eg. large accounts receivable balances, outstanding write-offs, etc.
- Complete standard forms related to rent collections and evictions
- Maintain resident and central filing records
- Participate in special projects on an ad hoc basis
- Ensure Resident Managers are complying with proper accounts receivable procedures
SKILLS AND EXPERIENCE
- Three (3) years of relevant work experience.
- Attention to detail, high degree of accuracy and strong adherence to established deadlines
- Organized, efficient, able to multi-task and to work with changing priorities
- Flexible and responsive to changing and evolving job requirements resulting from legislation changes and system enhancements
- Good keyboarding skills and level of proficiency with Yardi and Microsoft Office software
- Ability to analyze and interpret company policies and procedures as well as relevant Acts and Legislation
- Strong communication skills
