**Role Overview**:
**Objectives of this Role**:

- Support the president and provide additional support to executive team members as directed, ensuring the accomplishment of company goals and objectives and the smooth functioning of operations
- Refine and maintain internal processes that support high-ranking executives across the organization, coordinating internal and external resources to streamline workflows
- Facilitate communication between employees and internal/external executives, managing various projects and tasks
- Plan and organize work to ensure the fulfillment of senior executives' priorities, achievement of organizational goals, and adherence to best practices

**Responsibilities**:

- Coordinate complex scheduling and calendar management, ensuring the smooth flow of information to senior executives
- Arrange domestic and international travel logistics and activities for senior executives, including accommodations, transportation, and meals
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of digital filing systems and our contacts database (CRM)
- Maintain strict confidentiality and professionalism in handling all materials
- Organize team communications and plan internal and off-site events

**Education, Experience & Qualifications**:

- Degree or diploma
- Strong writing and editing skills (university level) in English. French language skills an asset.
- 5 or more years of experience
- Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
- An understanding of travel logistics gained through experience traveling domestically and internationally

**Working Conditions**:

- Prolonged periods of sitting and working with a computer monitor and keyboard
- Tight deadlines and rapidly changing priorities
- Regular interaction with internal and external stakeholders
- Occasional travel (overnight) as required

**Hours of Work**:

- Monday to Friday, 8 hours per day, with a schedule established in consultation with the president
- Expected to work from our Kingston office for a minimum of 3 days per week, with the option to work remotely for 2 days
- Minimum weekly work hours: 40, unless otherwise agreed upon
- May be required to work additional hours/days to meet deadlines
