**THE OPPORTUNITY**
Reporting to the CAFA Area Manager, this position works out of our Mississauga location.
**WHAT YOU’LL DO**
- Assist the Facilities Manager in all aspects of project implementation as needed;
- Support the Facilities Manager with external contracts as needed;
- Provide administrative support to the Facilities Manager;
- Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments;
- Coordinate all Facilities activities, work direction, and support systemsl
- Supervise and train receptionist, facilities employees and contractors as needed;
- Act as backfill for receptionist when required;
- Independently maintain and update administrative policies and processes;
- Manage all work requests, assigning work orders, and providing the overall system administration;
- Manage building and equipment maintenance schedules;
- Respond to urgent maintenance calls;
- In conjunction with landlord, prepare for emergencies by creating building evacuation and other action plans;
- Manage equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies;
- Liaise with vendors and suppliers on behalf of Facilities Manager;
- Supervise cleaning crews and maintenance workers;
- Document processes and keeping maintenance records;
- Monitor maintenance budget spending;
- Plan, organize, coordinate, and direct special events;
- Determine staffing needs for special events. Authorize or secure additional staff as required;
- Oversee and manages the employee access cards (new hires, termination, temp. cards, building maintenance cards, etc.);
- Oversee and manages the security cameras.
**REQUIRED QUALIFICATIONS**
- College degree (three years typically) in Business Administration, Management, or Building Engineering;
- 3-5 years of experience in a similar role;
- 3-5 years in facilities management /administration or in operations;
- Strong understanding of financial budgets;
- Experience working with facilities/project software (i.e., Maximo) or other facilities software platforms;
- Experience working with basic computer software like MS Office (Word, Excel and PowerPoint) as well as Internet;
- Travel required 30% of the time.
**PREFERRED QUALIFICATIONS**
- French (spoken and written)
