Administrative Assistant

Overview:
The Administrative Assistant is responsible for supporting the Executive Team and other members of the Executive Leadership Team with administrative tasks and completing assignments in accordance with daily priorities.
**Responsibilities**:
- Support team with all administrative needs and prioritize assignments to ensure all deliverable deadlines are met.
- Manage project schedule for the department.
- Handle executive members’ travel, adhering to the travel policy.
- Coordinate meetings and events involving internal partners from other Hard Rock properties and any special events in coordination with events team.
- Utilize Microsoft Outlook for scheduling.
- Receive all incoming calls & routes to appropriate person.
- Handle all mail/packages - incoming and outgoing in coordination with Reception.
- Process all timesheets, invoices, and expense reports.
- Ensure all executive members have the necessary tools and updated list of contacts to be able to be efficient in their day to day work.
- Develop and maintain necessary filing systems, to include files, vendor contracts and agreements, contact names and addresses, etc.
- Order supplies needed for executive team and non-gaming operations in coordination with internal partners.
- Prepare all correspondence (memos, letters, faxes, certificates, etc.), making appropriate copies and sending to appropriate individuals.
- Help manage the Executive Team’s time by screening calls and requests, and setting priorities to act on the most pressing matters.
- Organize meetings and take minutes of the meeting, as requested.
- Handle purse checks by producing weekly cheques, preparing replacement cheques as needed, as well as researching and recording positive test and cancelled races.
- Renew applicable licenses for the company.
- Act as the back-up to Payroll to fulfill those responsibilities when needed.
- Perform additional duties as required in accordance to the business need.

Qualifications:
EXPERIENCE, EDUCATION, AND CERTIFICATIONS
- Experience assisting individuals at an executive level
- Strong computer skills -Microsoft suite of products, mainly Word, Excel and Powerpoint
SKILLS
- Must be mature, professional, and discreet at all times keeping all information confidential
- Knowledge of administrative processes and procedures, and know how to take dictation
- Effective project management skills
- Ability to interact effectively with both internal and external contacts
- Strong written and oral communication skills in English (French an asset)
- Strong analytical and problem solving skills
- Ability to work well independently and with others
- Ability to think creatively, while still attending to detail
- Ability to work and contribute in a team environment under tight deadlines
PHYSICAL DEMANDS
- Duties and responsibilities are typically performed in a professional office setting, but there may be times where you will need to be on the Casino Floor or pass through this area. On the Casino Floor, you may be exposed to casino-related environmental factors including, but not limited to, excessive noise.
