Montréal, Canada Concordia University - Institute for Co-operative Education Full time

SCOPE

Reporting to the Operations Supervisor, the incumbent performs a variety of functions to assist the Institute for Co-operative Education. They perform tasks related to processes and activities at the Institute, including maintaining professional communication with students, employers, academics, and internal staff and Concordia departments.

RESPONSIBILITIES

The Clerical Assistant may take on responsibilities in one or more functional areas, depending on their interest, experience, and “fit”. They may be called on to assist in various projects and perform other tasks in support of the unit.

Administration
- Support various administrative functions related to employer communication, student communication, and working within the Institute’s technical platforms - Compass and the Student Information System (SIS) at Concordia.
- Assist in receiving and posting internship positions in a timely fashion, ensuring accuracy of information.
- Assist in scheduling interviews for Institute students.
- Actively follow up with and answer inquiries on matters related to Institute and its activities.
- Assist in administrative tasks related to other teams at the Institute, as required.
- May sit at the front desk / reception during lunch breaks, vacations, etc.

Professional Development
- Assist with the delivery of programming related to student professional development and/or reflective learning, including communicating with students.
- Assist with preparing and validating reports, track student attainment of requirements, assist with sessions and workshops including sharing with students and tracking attendance.

Events
- Assist with events - including during the planning phase as well as during the events.
- Help coordinate documentation related to large-scale events; e.g. attendance, communications, etc.

DESIRED QUALIFICATIONS
- Diploma of Collegial Studies (2-year pre-university DEC) or equivalent, and at least 1 year of similar experience.
- Prior experience in customer service, particularly with student and/or business communities. Good client service orientation, interpersonal and communication skills.
- Good knowledge (Level 4) of spoken and written English and French; experience in professional settings.
- Intermediate skills in MS Office / 365 (including Outlook, Word, Excel). Comfort working with data is an asset.
- Excellent organizational skills, ability to prioritize tasks and to meet strict deadlines. Strong ability to multitask.
- Ability to work independently, as well as part of a team.
- Experience with co-operative education and/or work integrated learning is an asset.
- Knowledge of the University policies, procedures, and the Student Information System (SIS) is an asset.

CONDITIONS

The number of hours per week varies from 7 hours to 35 hours per week, depending on the needs of the Institute.

The rate of pay is $21 per hour. The work will be primarily remote, during regular business hours - Monday to Friday.
