The Commonwealth War Graves Commission (CWGC) honours the 1.7 million men and women of the Commonwealth forces who died in the First and Second World Wars, ensuring they will never be forgotten. Our work commemorates the war dead, from building and maintaining our cemeteries and memorials at 23,000 locations in more than 150 countries and territories to preserving our extensive records and archives. Our values and aims, laid out in 1917, are as relevant now as they were 100 years ago.

CWGC’s Canada, Americas, and Pacific Area (CAPA) covers all of North, Central, and South America (31 countries) and another 10 countries in the Pacific Region including Japan, Hong Kong, Indonesia, Malaysia, Philippines, Fiji, Thailand, Singapore, and Myanmar. We are responsible for caring and maintaining 72,000 war graves, over 66,000 commemorations, 17 CWGC owned cemeteries and other sites with memorials, stones of remembrance and crosses of sacrifice.

**HUMAN RESOURCES (HR) ADMINISTRATOR**

We have an exciting opportunity for a person with the right skills and experience to join us as a Human Resources Administrator (CAPA).

The HR Administrator will provide a consistently high standard of administrative and project support to the HR Manager in functional areas including, but not limited to talent management, HR documentation, policies and procedures, recruiting and selection, training and development, payroll and benefits, and health and wellness.

**So that you know what to expect on any given day, you’ll be doing one or a variety of these tasks**:
Administrative Support
- Maintain all HR files, contracts, policies, documentation following agreed format, naming conventions, and using a systematic and logical approach, including accurate e-filing, in accordance with CWGC Data Protection principles
- Enter, maintain, monitor, and report on data within various CWGC and CAPA HR information systems
- Follow defined HR procedures and checklists to ensure all steps and actions are completed
- Draft/edit/proofread letters, contracts, communications, etc, ensuring they are accurate and professionally presented
- Coordinate purchase orders and processes invoices using an electronic Purchase Management System
- Manage the CWGC Long Service Awards and Recognition initiatives on a global and yearly basis

Recruitment Support
- Administer/coordinate recruiting and selection related activities, including but not limited to: Job description generation, Posting jobs; Applicant tracking

Payroll and Benefits Support
- In collaboration with Finance, you will enter payroll data, prepare documents, and control processes for all CAPA countries with staff, including Canada, Hong Kong, Indonesia, Japan, Malaysia, Myanmar, Singapore, and Thailand.
- Administer CAPA wide benefits (e.g., Health, Life, Disability, RRSP, EAP, etc ) related activities, such as:

- Enrolments, changes, and terminations
- Maintaining accurate and complete employee benefit databases, including files and records, and update as necessary
- Processing and reconciling monthly insurer billings
- Assist with Health and Wellness program activities

Training and Development Support
- Coordinate onboarding/offboarding activities, including but not limited to: greetings/departure notifications, new hire/departure documentation, orientation, compliance/functional training, process evaluation, etc..
- Coordinate Professional Training and Development activities, such as: Performance Appraisal and Objectives tracking/reporting
- Professional Development training and course tracking (e.g., HRDownloads)
- Monitoring compliance with internal conditions of probation, discipline, and/or other developmental principles
- Monitor and report on training to ensure compliance with applicable external regulatory agencies

**The Qualifications we would like you to bring to the position include**:
Essential
- Post-secondary education with a concentration in Office/Business Administration, Human Resources or equivalent combination of education and experience that is deemed acceptable to the CWGC
- Previous experience as an Administrator within a busy, confidential, and customer-focused environment, preferably within an HR environment
- The ability to effectively utilise on-line systems and data bases (i.e., HRIS, applicant tracking, training and development, attendance, etc )
- Professional Level of written, reading and spoken English

Desirable
- Familiarity with Human Resources practices and principles, employment/labour standards, pay and benefit administration.
- Experience working in a global organisation
- Bilingual English, French and/or one other language used by CAPA (Thai, Malay, Burmese, Indonesian, Cantonese, Japanese)
