The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

**Position title**: Special Projects Coordinator
**Reports to**: AMS President
**Employee status**: Hourly Exempt, Appointed
**Length of term**: May 1, 2024 - April 30, 2025
**Hours per week**: May 1, 2024 - September 30, 2024:15 hours per week
**October 1, 2024 - April 30, 2025**: 10 hours per week
**Compensation**: $18.00 per hour

Position Purpose

The Special Projects Coordinator will report to the President and is responsible for the organization of special projects and events such as the AMS Awards Gala, AMS Just Desserts, AMS AGM, and other large student facing events as well as other administrative duties as required on behalf of/for the President. The position assists the President and the Executive to organize these events from a project management perspective, furthering the AMS’ mission to build a better campus culture for all students. The Special Projects Coordinator will additionally take a leading role in the development phase of the AMS Exam Database. They will be tasked with working in a project management capacity with Constituencies as well as Program & Department Clubs to build connections with UBC Faculty as well as managing the creation of the database.

**Responsibilities**:

- Coordinate the initial development of the AMS Exam Database
- Help organize major AMS events such as the Annual General Meeting and the AMS Awards Gala
- Advise the President on both operational and strategic items
- Work with the rest of the team on Presidential Projects, Policy Reviews, and Strategy
- Coordinate events and assist with projects and presentations
- Organize major AMS events such as the Annual General Meeting and the AMS Awards Gala
- Attend events and student-life related meetings as required
- Proactively develop ideas to increase AMS’s Engagement with its membership
- Uphold the AMS’s mission, values, constitution, and Strategic Plan
- Administrative and other duties as required

Qualifications and Experience
- Must have experience in project management, preferably with an AMS Club or Constituency
- Must have experience in event planning and coordination, preferably with an AMS Club or Constituency
- Must be a currently registered student at UBC Vancouver or one of its affiliated colleges
- Strong public relations, teamwork, and organization skills
- Ability to meet deadlines and work well under pressure
- Must be able to work flexibly, adapting to the different needs and limitations of each project
- Must proactively initiate cross-portfolio communication
- Organized, punctual, and detail-oriented
- Experienced with large scale project management
- Proven track record of showing initiative and maintaining confidentiality
- Able to work both in a team and individually
- Experience leading a team on project development an asset
- Able to multi-task and manage several projects with widely different themes
- Interest in community building an asset
