**Department summary**

The Faculty of Graduate Studies and Research (FGSR) occupies a central and crucial position in graduate education at the University of Alberta. The Faculty is the registrar for over 8,400 graduate students and their records, sets minimum standards for all graduate programs, is entrusted with all aspects of quality assurance in graduate education on campus, deals with over $30m in graduate scholarship funding to almost 4,000 graduate students annually, provides support and training to support graduate students in over 70 departments and faculties, provides multiple central services (admissions, scholarships, student records) to all graduate programs, provides numerous direct services for all graduate students, and is charged with implementing the University’s strategic vision for graduate education. FGSR also oversees the postdoctoral fellows and academic visitors through the PostDoctoral Fellows Office.

**Position summary**
- The variety of programs, requirements, and policies involved in graduate administration means that most graduate files are complex with multiple, intersecting issues and implications. There are rarely simple and straightforward solutions for graduate students requiring direction or advice related to their academic programs. As such, the FGSR Advisors are expected to have a high level of specialized knowledge on administrative processes and both institutional and program policies when supporting graduate students.
- In addition to advising graduate students, the FGSR specialists must also work closely with individual grad student supervisors and academic leads to provide guidance and policy interpretations.
- FGSR’s Graduate Specialists are trained to offer solutions that consider the impacts on students’ finances and their progress in their programs as well as their academic records. This requires an understanding of their own areas of expertise but also the possible downstream impacts on other areas in a student’s academic progression such as awards eligibility or time to completion
- In all facets of this role, this position endeavors to integrate and advance the University’s commitments to equity, diversity and inclusivity.

**Duties**
- Prepare and present cases for the Associate Deans, Vice-Dean, and Vice-Provost and Dean, in a way that is clean, efficient, and knowledgeable. This requires a high order of knowledge of the programs and their regulations, as well as a comprehensive understanding of institutional policy and how it intersects with each program’s regulations. The variety of programs, requirements, and policies involved in graduate administration means that most graduate files are complex with multiple, intersecting issues and implications.
- Advise FGSR’s decanal team on policy, past precedent, and other contextual information related to the graduate student and/or program. Conducts research for complex student cases and creates cases for the decanal team to review.
- Prioritize competing tasks and handle multiple time sensitive commitments and cases on an ongoing basis with infrequent direct supervision.
- Resolve issues within the scope of their duties and escalate concerns when institutional reputation is at risk or when academic direction is required.
