Receptionist/administrative Assistant

Canadian Institute of Osteopathic Therapy (CIOT), located in downtown Calgary, is a fully licensed and designated career college providing programs in Osteopathic therapy. CIOT is dedicated to becoming Calgary’s premier career college and helping students become job ready. CIOT is working with Portage College, a premier public institution, to provide access to Portage College continuing education programs in the Calgary metropolitan area to international students. This enables students to access quality programs of Portage College while living and working in the metropolitan environment of Calgary.

**Responsibilities**:
2. Respond promptly to queries from current students, staff, and instructors, directing them to appropriate personnel for resolution, and maintain a log of all interactions to ensure thorough follow-up and support.
3. Lead and coordinate campus tours, highlighting facilities and providing informative insights to engage and inform visitors.
5. Proactively generate leads through various channels including phone calls, student referrals, and walk-ins, and support the student advisory team in engagement activities.
6. Oversee the inventory of office supplies, stationery, furniture, and other assets, coordinating with internal teams and external suppliers to ensure timely procurement and replenishment.
7. Liaise with vendors, contractors, building management, and facilities teams to address maintenance and infrastructure needs, contributing to a well-maintained and functional campus environment.
8. Process and direct invoices and mail to the accounts team efficiently, ensuring accurate financial and administrative record-keeping.
9. Escalate student or staff concerns and issues to appropriate management promptly, facilitating effective resolution and maintaining campus harmony.
10. Provide comprehensive administrative and technical support to faculty, staff, and students, including IT assistance, document preparation, and data management, ensuring operational efficiency and technology reliability.
11. Participate in and support peak period activities such as class intakes, student orientations, and convocations, demonstrating flexibility and commitment to campus success.
12. Engage in special projects and initiatives as directed, showcasing adaptability and a proactive approach to continuous improvement and excellence in campus operations.
**Qualifications**:
- At least 1 year of experience with similar role & responsibilities
- A people person who takes pride in ensuring front desk runs efficiently
- Ability to communicate effectively
- Ability to multitask and manage time sensitive activities
- Strong skills in MS Office and Database Systems
**Job Types**: Part-time, Casual
Pay: $18.00-$22.00 per hour
Expected hours: 10 - 30 per week
Flexible Language Requirement:
- French not required

- Monday to Friday
- Weekends as needed
**Education**:
- Bachelor's Degree (preferred)
