**Job Summary**:
As Simaril Supported Living continues to expand, we are seeking a dedicated _Administrative Assistant_ to provide vital administrative support and ensure smooth office operations. This role will be central to managing multiple projects, timelines, and communications across the organization, as well as supporting our mission to empower individuals with disabilities.

**Duties and Responsibilities**:
**General**:

- Efficiently manage multiple projects and timelines, ensuring deadlines are met.
- Maintain positive and effective communication with the community, families, supported individuals, and professionals.
- Foster strong relationships internally and externally to achieve organizational goals.
- Adhere to and uphold confidentiality policies and procedures regarding sensitive information.
- Stay updated on organizational policies and legislative requirements, communicating these effectively across teams.

**Administration**:

- Welcome guests, provide information, and ensure their comfort while coordinating with relevant staff.
- Manage incoming and outgoing mail, including processing invoices and financial documents.
- Perform general office duties such as faxing, scanning, photocopying, and ordering supplies.
- Maintain accurate records in accordance with organizational and provincial standards.
- Assist in developing and managing agency tracking systems to enhance efficiency.
- Ensure all departments have necessary resources and maintain organized files.
- Coordinate administrative procedures and assist in organizing agency functions.
- Perform other tasks essential for the smooth operation of the office.

**Accounting**:

- Handle accounts payable processes, including check requests and financial documentation.
- Assist with basic accounting tasks and maintain financial records.

**Employee Relations**:

- Foster strong communication within the team and maintain positive relationships with colleagues.
- Ensure strict confidentiality in handling employee, financial, and applicant information.

**Skills and Qualifications**:

- 2-3 years of administrative experience, preferably with completion of an administrative program.
- Familiarity with office management practices and basic accounting procedures.
- Proficiency in Microsoft Office 365 (Word, Excel, Teams, PowerPoint).
- Excellent organizational, interpersonal, and communication skills.
- Ability to prioritize tasks and work independently or as part of a team.
- Reliable, responsible, and able to thrive in a fast-paced environment.
- Experience working in cross-cultural settings with sensitivity to diverse backgrounds.
- **Due to the nature of this position, successful applicants must provide original Criminal Record Check, Vulnerable Sector Search, Adult Abuse Registry Check, and Child Abuse Registry Check prior to employment.**
