Job Title**:Testing & Administrative Coordinator (Full-Time, In-Person)**
Location: Scarborough, Ontario (Kennedy & Ellesmere)
We are hiring a full-time Testing & Administrative Coordinator responsible for managing exam sessions and performing administrative tasks. This in-person role, and you must be able to commute to Scarborough, Ontario. It requires strong organizational skills, attention to detail, and the ability to enforce rules and maintain control in a professional testing environment. The work schedule is Monday to Friday, 10 AM to 6 PM.
**### Job Responsibilities**:
- Exam Coordination & Supervision:
- Ensure personal items (phones, watches, jackets, etc.) are stored in lockers and confirm phones are turned off before the exam.
- Address and handle any behavioral issues during exams, ensuring a smooth and quiet testing environment.
- Post-exam duties include sanitizing workstations (keyboards, mice, desks), distributing and cleaning earplugs, turning off all workstations, and disposing of used materials (pens, paper, whiteboard markers) safely.
- Administer additional exams, including Athabasca University, Meazure Learning, and other college/university exams, handling both online and paper-based formats.
**- Administrative & Front Desk Support**:
- Provide ongoing administrative support when not actively managing exams, such as:
- Course Scheduling: Coordinate and schedule part-time classes, maintain the session calendar, and assist students with inquiries related to course schedules.
- Lead Management: Add new leads to the CRM system and follow up with potential students, answering questions about upcoming classes.
- Invoicing & Payments: Create and manage invoices, collect payments, and address student inquiries regarding IT certification courses (Networking, Cloud, Cybersecurity, Data Science, Programming).
- Assist with additional administrative tasks, such as organizing files, managing office supplies, and providing support to colleagues as needed.
- Troubleshoot and resolve technical issues during exams, escalating issues to tech support if necessary.
**### Requirements**:
- High school diploma or equivalent; post-secondary education preferred.
- Minimum 2 years of experience in a customer service or administrative role, preferably in an environment requiring strict procedures.
- Previous experience in exam administration or proctoring is highly preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with CRM systems.
- Ability to troubleshoot basic technical issues and resolve problems with support from tech services if needed.
- Strong verbal and written communication skills to effectively explain procedures and enforce rules.
**### Schedule**:
- Full-time: Monday to Friday, 10 AM to 6 PM.
**Job Types**: Full-time, Fixed term contract, Seasonal
Contract length: 4 months
Pay: $17.20 per hour
Expected hours: No more than 40 per week
