**In this position you will be responsible for providing high level confidential support to the Chief Executive by providing a full secretary and administrative service. Ensuring that effective planning and that administrator systems are in place working effectively and efficiently.**
**Key Responsibilities**:
- **Managing multiple calendars, scheduling needs starting with appointments, client meetings, interviews, as well as internal calls between the CEO and his executive and clients.**
- **Managing travel arrangements for the CEO, including organizing necessary Visa’s, passport records and immunizations for any international travel.**
- **Handling incoming and outgoing mail and courier deliveries. Ensuring all communications are handled efficiently and professionally.**
- **Organizing internal and external events, business, personal and philanthropic. You will also assist in preparing any presentations.**
- **Undertaking local errands and purchases for the CEO. As well as arranging general services.**
- **Coordinating credit card reconciliations, out-of-pocket expense reimbursements and invoice processing. Completing membership and subscription renewals and conference registrations.**
- **Maintaining an effective electronic filing system for CEO and Sales items.**
**Other Duties**:
- **Develop skills and undertake responsibilities as appropriate which will fulfil the purpose of the role and support the success of the organization.**
- **Participate and contribute to organizational/team meetings as required.**
- **Provide reports for senior management as required.**
- **Carry out all the duties with complete discretion and a high regard for confidentiality.**
**Core Competencies & Attributes**:
- **The ability to work on one task while managing and keeping track of several others simultaneously.**
- **The ability to give a task your undivided attention while being able to catch mistakes, errors or changes.**
- **The ability to manage Travel Arrangements, destinations and transport efficiently and effectively.**
- **Being able to effectively manage a schedule, dependencies and assign resources in order to complete the project within a designated time frame.**
- **Ability to work with MS Office software’s such as Excel, Outlook, Power Point and Word.**
- **Ability to think proactively, acting in anticipation of future problems, needs or changes.**
**Qualifications**:
- **Experience in the field with at least 15 years**
- **Proficiency in MS Office Tools (Excel, Outlook, Word, Power Point)**
- **Great communication skills both verbal and written**
- **Exceptional Organizational skills and time management skills**
- **Professional attitude and discretion**
- **Have a license to drive and reliable transportation**
**Role Details**:
**This role is a Full-Time Position, 40 hours a week. You would be working in office from Monday to Friday. The hours of operation for this role start at 8h30am until 5h00pm.**
