**THE ROLE**

Melbourne Property Management is looking for an experienced Executive Assistant to support our senior executives. Responsibilities include managing schedules, organizing meetings, preparing expense reports, coordinating travel and management team events, and assisting with various tasks to ensure smooth operation. Excellent attention to detail is an essential skill for this role.

**Duties and Responsibilities**
- Prioritize incoming phone calls, meeting requests, teams calls, and communications
- Prepare proposals, letters, client documents as required.
- Act as a liaison and support leadership teams by attending meetings in the Executive’s absence and deliver/receive messages on Executive’s behalf
- Other initiatives as identified by Executive team
- While much of this position may be undertaken in various meetings and on-line, it is intended that this would be an in-person position, located at our head office
- Work closely with HR to drive initiatives/projects assigned by the executive team to promote engagement, transformation and communication across the business groups

**Your Qualifications**:

- Minimum 5+ years administrative experience supporting a Senior Executive in a fast-paced environment with multiple demands and ever-changing schedule.
- **Superior attention to detail required**
- Prior experience working in a law office or real estate development will be considered a strong asset
- Expert proficiency in Microsoft Suite particularly Excel
- Discretion, tact, and loyalty; understands the importance of maintaining strict confidentiality.
- Polished, confident and professional manner as well as excellent communication and relationship management skills.
- Independent and resourceful self-starter with the ability to manage multiple requests and meet deadlines.
- Exhibits sound judgement and the ability to make reasonable decisions in the absence of direction
- Swiftly refers problems/issues to the appropriate person(s) when necessary
- Works effectively without constant and direct supervision or guidance
- Excellent communication and interpersonal skills
- Open to ideas, willing to ask for help, flexible, thinks outside the box, proactive and able to admit when a mistake is made, and learn from the experience
