We're seeking a vibrant Wellness Experience Coordinator to join our team and champion the balance between operational efficiency and patient care. As the first point of contact for our practice, you'll orchestrate a seamless experience for our patients from check-in to check-out, ensuring they feel supported every step of the way. You'll be the friendly face that greets them and the empathetic voice that addresses their needs; ensuring that every individual who walks through our doors feels valued and cared for.

Key Responsibilities:

- Greet and assist patients with warmth and professionalism, cultivating a welcoming atmosphere and ensuring patient satisfaction. Provide exceptional customer service by addressing patient concerns and inquiries promptly.
- Coordinate patient intake forms and ensure all necessary paperwork is complete.
- Schedule appointments promptly with precision and efficiently, maximizing practitioner availability while accommodating patient preferences; ensuring optimal utilization of our chiropractors' time. Collaborate closely with our healthcare team to streamline workflows and enhance patient experiences. Support our chiropractors with administrative tasks to enhance their productivity.
- Serve as a liaison between patients and practitioners, addressing inquiries and facilitating communication. Proactively address patient inquiries and concerns, providing exceptional customer service at every touchpoint. Collaborate with the team to seamlessly enhance patient’s experience and satisfaction while ensuring operational efficiency.
- Maintain patient records with meticulous attention to detail and precision, ensuring accuracy and confidentiality.
- Coordinate payment processing, facilitating smooth financial transactions, and optimizing administrative workflows.
- Uphold compliance with regulatory standards and implement best practices for office administration.
- Maintain a clean and organized office environment, reflecting our commitment to professionalism and hygiene.
- Educate patients on the benefits of chiropractic care and other wellness services offered.

Qualifications:

- Proven experience in office administration or customer service, preferably in a healthcare setting. Or a scheduling position.
- Excellent communication skills, both verbal & non-verbal and written, with a compassionate and empathetic approach. Exceptional interpersonal skills, with a passion for fostering positive relationships. You must be an accomplished active listener.
- Strong organizational abilities and keen attention to detail, capable of managing multiple tasks simultaneously with a willingness and ability to learn new systems quickly.
- Passion for health and wellness and a genuine desire to help others. Building connections and rapport with patients to understand how we can best support their wellness journeys, with commitment to excellence in service and care.
- Ability to work effectively both independently and as part of a collaborative dynamic team.
- A proactive mindset, critical thinker and a knack for problem-solving. The ability to multitask and thrive in a fast-paced environment, with the flexibility to adapt to changing priorities and responsibilities while making decisions with skillful judgement.
- Knowledge of chiropractic principles and terminology is a plus, but not required.

The fine details:
This is a part-time position with an hourly wage ranging from minimum wage to up to $20/hr. It is varied hours, and you must be available Mondays, Tuesdays and Thursdays in the daytime and evenings. Monday’s and Tuesday's shifts can be from 9 or 10 AM to 2 PM or 1:45 PM to 7 PM. Thursdays alternate between a shift as early as 430 AM to 10 AM and a 10 AM to 2 PM shift. Our clinic is open one Saturday a month for a full day, (never in July and August) This will be explained further at the interview.
