**JOB DESCRIPTION**
**Job Title**:Property Manager **Reports to **Operations Manager, President

**Level**: Mid-Level, non-management **Location**: Mainly the Hamilton area, occasionally in Waterloo Region, working from home

**Position Overview**:
As a self-motivated and prudent property management professional you will be responsible for assisting our
Property Managers and the Operations Manager to service and maintain property management accounts and for maintaining the integrity of the property files in accordance with the corporate mission statement and corporate policies and procedures.

**Responsibilities**:

- Maintain accurate records of all property transactions and submit them on a timely basis ( i.e., rent rolls, delinquency reports, move-in/move-outs, etc.)
- Ensure that all rents, late fees, and other charges are collected in a timely manner
- Generate necessary legal action, documents, and process in accordance with the Provincial

Guidelines
- Ensure the property is rented to the fullest capacity; vacancies filled ongoing
- Utilize marketing strategies to secure prospective residents
- Continually monitor renewal I information, marketing data, etc., to be able to give up-to-date and proper information when requested by team members and property owners
- Tour prospects when required
- Move-in & out tenants as required
- A member of our Emergency support team 24/7/365
- Confirm all leases and corresponding paperwork are completed and input to software Systems & Google Drive files, accurately and on a timely basis
- Ensure current resident files are properly maintained
- Deal with prospects from the initial inquiry to the finalized Lease Agreement.
- Deal with resident concerns and requests on a timely basis to ensure resident satisfaction
- Review property appearance regularly and notify appropriate staff/vendors/owners when repair/maintenance is required
- Ensure that on-notice and market-ready apartments are inspected frequently and communicate any service-related needs to maintenance
- Ensure that all service requests are recorded and communicated appropriately to maintenance
- Encourage and educate tenants to use the company’s online assets on an ongoing basis

**Knowledge/Skills/Abilities**:

- Ability to develop and maintain strong relationships with property owners, tenants, vendors, contractors, and other team members
- A professional demeanor coupled with strong communication skills both written and verbal
- Demonstrates a high degree of integrity, diplomacy, discretion, and confidentiality
- Quality focused with excellent interpersonal skills
- Independent thinker, self-directed autonomous worker requiring little direction
- Access to your own transportation and a valid class G driver’s license
- Access to your own smartphone and willingness to operate the company’s VoIP phone app on it
- Fluent in English
- Highly organized with the ability to work well under pressure, multi-task, and prioritize to meet deadlines
- Able to learn and then proficiently use the company’s online rental software systems

**Education and Experience**:

- 2+ years’ related experience as a Property Manager or Assistant Property Manager
- Post-secondary education in a related field is considered an asset
- Knowledge of the Provincial Legislation for Residential Tenancies is an asset
- Strong leadership skills with the ability to mentor and support a team

**Effort**:

- Flexible in the schedule to work occasional evenings or weekends
- Frequently travel around the Hamilton/Dundas area, occasionally the Waterloo Region, and other areas as they develop.
- Being an important part of our “On-Call” team, which handles off-hour requests by tenants for emergencies.
- Participate in the Team’s weekly video calls with other team members.
- Comfortable communicating with prospective tenants, tenants, vendors, and owners in both verbal and written digital methods
